Victim Services Division

Position Title:  Administrator I

Classification: Administrative Support / Clerical

Salary Range: $37,645

Reports To: Victim Services Division Administration

 

Position Summery

The Clerical Assistant performs a variety of routine to moderately complex clerical and administrative duties in support of the Victim Services Division. Work requires attention to detail, accuracy, the ability to follow established procedures, and the exercise of independent judgment. The role involves maintaining office systems, supporting staff, and interacting with the public, criminal justice partners and Victim Services Division personnel in a professional manner.

 

 

Key Responsibilities:

 

Administrative & Clerical Support  

     

  •           Entering, updating, retrieving, verifying, and deleting information in case management and office systems. 
  •           Edit, proofread, and prepare correspondence, reports, and documents for accuracy and completeness. 
  • Scanning documents and uploading them to electronic case files  
  • photocopying, printing and distributing materials. Prepare, sort, distribute, and process incoming and outgoing mail. 
  •           Serve as Victim Services Division receptionist; attend visitors and provide general information. 
  • Answer multi-line telephone systems; take and relay messages accurately. 
  •            Interact professionally with victims, the public, criminal justice partners, and colleagues. 
  •           Operate standard office equipment including computers, scanners, copiers, and printers. 
  •            Maintain office supply inventories; requisition, order, receive, store, and distribute supplies. 
  • Assist administrative staff with preparing reports, letters, and other correspondence
  • Assist in developing or improving clerical procedures when directed. 
  • Running statistical reports and completing special assignments. 
  • Performing other duties as assigned

  • Ensure accuracy, completeness, and security of all data entered or maintained.

  • Comply with all applicable Public Records laws, statutes, and policies

 

Knowledge, Skills & Abilities

 

  • Knowledge of standard clerical practices, and office procedures. 
  • Skill in data entry, proofreading, and accurate recordkeeping. 
  • Skill in operating office software applications and equipment. 
  • Ability to read, comprehend, and follow written and verbal instructions. 
  • Ability to communicate effectively, both verbally and in writing. 
  • Ability to organize work, manage time effectively, and meet deadlines. 
  • Ability to work independently and as part of a team. 
  • Ability to maintain confidentiality and observe legal and ethical obligations. 

 

Minimum Qualifications

 

  • Education: High School Diploma or equivalent. 
  •            Experience: One (1) year of clerical, administrative, or customer service experience; or an equivalent combination of training and experience. 

 

Preferred Qualifications: 

 

  • Experience in government, court, criminal justice, or human services setting.
