Position Summary
Provides administrative support to the Executive Director, Clinical Development Team Leader, Late Oncology Team 1 as well as members of the group. Performs highly diverse administrative and project-focused duties, which by nature of the position may involve high level contacts and exposure to confidential material necessitating the use of tact, diplomacy, discretion and judgment. The candidate must have proven skills in prioritizing and multi-tasking, as well as the ability to remain poised and focused in a fast-paced working environment.
Key Responsibilities
- Demonstrate strong interpersonal skills and diplomacy in all levels of management.
- Work with minimal supervision, have strong initiative, organization skills and commitment to follow-up with focus on details.
- Calendar, email and phone management as well as timely scheduling to ensure meetings are prioritized and occur within appropriate timelines.
- Perform diverse administrative duties in support of Clinical Development Team lead (CDTL) and Clinical Development Leads (CDLs) including heavy calendar management, meeting scheduling and coordination (internal and external), arranging video-, tele- conferences as necessary for these various meetings; making travel arrangements (domestic and international), processing expense reports; completing independent project work.
- Prioritizes activities and takes prompt action based on an understanding of departmental objectives and business needs.
- Adhere to T&E (travel and expenses) policies, including knowledge of general BMS policies to ensure compliance.
- Ensure manager’s preparedness for meetings (e.g., assemble meeting agendas, assist with presentations)
- Maintains professional and technical knowledge by remaining current with BMS continuous learning modules.
- Proactive management of high profile internal & external events.
- Positive, proactive team player with ability to build relationships across the HOCT group and with key stakeholders across the organization. Must be flexible to provide back up support for other administrative assistants within the group and/or department as needed.
Qualifications & Experience
- High School degree, some college or degree desirable.
- 5+ years administrative or comparable experience; prior BMS and Executive Associate Experience preferred.
- Proficient with Microsoft Suite (Outlook, Word, Excel, Power Point). Knowledge of BMS Systems and Processes strongly preferred.
- Concur Travel and T&E, Ariba/SAP, SharePoint, eSetup, Workday, Room Scheduler experience strongly desired.
- Has strong organizational skills, pays close attention to detail and follow-up, and properly balances priorities and resources.
- Maintains a positive attitude, a high level of productivity, adaptable to change, able to learn new tools and systems in an ever-evolving environment.
- Demonstrates ability to prioritize, pro-actively work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and supports business needs across different time zones and during periods of heavy workload.
- Ability to multi-task and adapt quickly to competing priorities while remaining focused.
- Ability to work effectively under pressure to meet deadlines.
- Exhibits a positive work attitude, and high productivity.
- Proven track record of collaboration with other administrative assistants in order to ensure business needs/goals are met.
