JOB SUMMARY
The Travel Management Operations Coordinator plays a key role in supporting the Travel Management team by assisting with scheduling, project coordination, cross-functional communication, and administrative tasks. This position helps ensure smooth day-to-day operations across departments, contributes to strategic initiatives, and promotes a high standard of service and efficiency. The ideal candidate is detail-oriented, organized, and thrives in a dynamic, team-driven environment where collaboration and adaptability are essential.
HOW YOU WILL CREATE THE EXTRAORDINARY
- Scheduling & Logistics Support
Assist with data entry and documentation related to scheduling and operational planning. Track and update schedules, timelines, and logistics to ensure accuracy and efficiency. - Communication and Coordination
Draft and send internal and external communications, including updates, confirmations, and changes. Monitor shared inboxes and respond to inquiries professionally and promptly. Collaborate across departments to support alignment and workflow consistency. - Project Support
Assist with project tracking, documentation, and timeline management. Support cross-functional initiatives by coordinating tasks and maintaining progress reports. Help ensure projects are completed on time and meet quality standards. - Administrative Assistance
Maintain department reports, standard operating procedures (SOPs), and training materials. Assist with onboarding and documentation for new team members. - Marketing Support campaign development through creative input, messaging, and quality control. Facilitate communication plans, social media initiatives, and process improvements to enhance operational efficiency and campaign effectiveness.

WHAT YOU WILL NEED
2 - 3 years’ experience in office management, accounting or airlines preferred
High School Diploma or equivalent required
Prior experience with Charter Air Program preferred
Strong computer skills, including intermediate proficiency in Excel, required.
1-3 years Hotel / Casino / Call Center / Charter Operations experience preferred.
Ability to communicate in English is required.
Strong guest relations skills are required
ADDITIONAL REQUIREMENTS
Must be able to communicate well in person, online meetings, on the telephone and in correspondence.
Must be able to solve problems, being able to quickly identify the challenge and resolution.
Must be organized and timeline driven.
Must be driven and able to work independently in the framework of the larger project.
