A Brief Overview
Responsible for the administration of routine leave of absences such as, FMLA, Company leaves, military leaves, and bereavement leaves, etc. Interprets and administers leave programs and policies and ensures compliance with the applicable federal, state, and local employment laws and regulations. Communicates with employees and supervisors about the status and relevant Company policies. Assists with the evaluation of Americans with Disabilities Act (ADA) requests for accommodation and participates in the interactive dialogue with employees. Ensures that STD and LTD claims are coordinated with FMLA or Company leave of absence as applicable. May serve as subject matter expert for the Workday Absence and Time Tracking system. Assists with filing reportable workers' compensation claims to the company's carrier on a timely basis. Maintains strict confidentiality. Provides excellent customer service and assistance to employees, supervisors, and management.
What will you do?
- FMLA ADMINISTRATION: Assists with the administration of routine leave of absences such as, FMLA, Company leaves, military leaves, and bereavement leaves, etc. Interprets and administers leave programs and policies and ensures compliance with the applicable federal, state, and local employment laws and regulations including HIPAA. Consults with management for clarification and direction when needed. Keeps abreast of actual and potential changes to the laws and regulations. Tracks leave hours taken in timekeeping system and works with Payroll to ensure that employee’s pay is accurate and collection of any unpaid premiums.
- COMMUNICATION: Communicates with employees and supervisors about the leave status and relevant Company policies, and the impact of benefits. Maintains appropriate contact with employees on leave and coordinates return to work for employees on leave. May explain options regarding impact of leave of absence on benefits. Communicates with employee/medical provider to resolve routine questions, clarify job duties, and obtain medical information. Works with management to identify, research and resolve questions. Identifies potential issues and brings issues to the attention of Human Resources management. Performed in conjunction with other duties.
- ACCOMODATION ADMINISTRATION: Assists with the evaluation of routine Americans with Disabilities Act (ADA) requests for accommodation and participates in the interactive dialogue with employees. Obtains additional information regarding reasonable accommodation options as needed. Seeks approval to approve or deny routine ADA requests for accommodation.
- DISABILITY ADMINISTRATION: Ensures that STD and LTD claims are coordinated with FMLA or Company leave of absence as applicable. Administers routine short-term disability (STD) and long-term disability (LTD) claims process to eligible employees including completing Company information, reviewing payments for accuracy, and following up with insurance company if payments are delayed or to correct errors in payments.
- WORKDAY SETUP: May serve as subject matter expert for the Workday absence and time tracking features. Maintains the integrity of the systems, including recommending design, publishing, and monitoring of various reports, troubleshooting issues and reporting bugs as they arise, evaluating new features including Workday’s semiannual updates, and participates in the implementation of new features. Monitors systems daily to ensure accuracy of transactions. Communicates with others as needed when issues arise and makes corrections when necessary. Drafts or prepares absence and time tracking systems’ communications.
- WORKERS' COMPENSATION: Assists with filing reportable workers’ compensation claims to the company’s carrier on a timely basis. Completes applicable first report of injury form for accidents/injuries occurring at the worksite or during work hours and OSHA 200 log. Assists with the investigation of reported workers’ compensation claims. Serves as liaison between employee and the workers’ compensation carrier on standard claims. Administers and reports information required for time and attendance records and coordinates with FMLA and ADA as applicable.
