Executive Assistant

THE IMPACT YOU’LL MAKE

As an Executive Assistant to the CEO and Executive team, you will own the administration of the day-to-day operations for the Executive Team. Your excellent organizational skills will allow you to prioritize and manage multiple tasks simultaneously, prepare meeting minutes, and coordinate events on and offsite.  Leveraging your flexibility and problem-solving skills will increase your impact in delivering results. Your key partnership to the CEO and Executive Team will help drive their efficiency and effectiveness, impacting the overall growth and success of the organization. The Executive Team will know they can rely on you for the completion of work-related tasks! This role will be fully in the office at our Reece Support Center in Addison, TX.

WHAT YOU’LL BRING

  • Calendar management skills: Maintain the CEO’s calendar, scheduling and coordinating appointments.
  • Meeting coordination skills: preparing agenda, action items and compiling documents needed prior to leadership meetings
  • Document management skills
  • Relationship management and project support – maintaining a collaborative focus on compiling data, conducting research if needed and working with the executive team while building and maintaining strong relationships with internal and external stakeholders
  • A professional and accommodating attitude
  • Excellent organizational and planning skills
  • Excellent presentation, communication, and interpersonal skills – acting as the primary point of contact for internal and external communication on behalf of the CEO and Executive team.

YOUR BACKGROUND

  • High school diploma or equivalent
  • Minimum Bachelors’ degree is preferred
  • Intermediate to advanced skill level with Microsoft Outlook, Excel and Word and PowerPoint
  • Previous executive assistant experience working with C-suite executives is required

Following is a list of physical and mental requirements identified as necessary to achieve the essential functions of this role:

  • Attendance – Ability to maintain the scheduled days and hours, including onsite presence at the assigned location as specified.
  • Physical Capacities – Lift up to 25 pounds on occasion, sitting and standing for extended periods.
  • Operation of Office Equipment — Job requires operation of equipment common to office settings, including computers, copiers, and other office equipment, including Near Vision, Manual Dexterity, and working in proximity to equipment.
  • Oral Communication Skills – Speaking, Speech Clarity, and Speech Recognition.
  • Written Communication Skills – Writing, Reading and Written Comprehension, and Written Expression.
