Overview
The Talent Privacy and Records Retention Senior Lead Advisor will work with the ongoing development and operations of the talent functions and records management activities. The Senior Lead Advisor will be a thought partner in developing and executing a records retention strategy, schedules for retention, developing and conducting training, and implementing methods of inventory completion and preserving and purging vital Talent records. This role will be an expert in the processes and procedures related to record retention and privacy. In addition, the Senior Lead Advisor will be responsible for compliance requirements, records keeping best practices, electronic and offsite storage solutions, and other records management issues related to Staff and vendors. In addition, the role will maintain electronic and paper talent files as a critical coordinator of offsite records activities, monitor activities of vendors and users, and will inform policy and procedural improvements to existing workflows.
Responsibilities
- Manages and oversees privacy rights requests and associated personal information data inventory
- Serve as privacy and records retention liaison for the Talent Department
- Develops processes and procedures for records retention policy/schedules and maintain ongoing updates
- Develops, implements, and improves record keeping systems and practices, including managing, and preserving electronic records
- Provides consultations in interpreting and applying records retention policies
- Coordinates the management of physical records location and movement between records locations
- Coordinates the appropriate storage of active records in electronic storage and with preferred vendors
- Coordinates and manages the appropriate disposition of records scheduled for secure destruction
- Develops and conducts a regular training and outreach program on recordkeeping best practices and retention policies for all Talent Records
- Maintains outreach and informational resources, including the Talent Teams Records Management website
- Evaluates records keeping practices and systems with respect to regulations, compliance, and industry best practices, escalating to stakeholders as needed
- Tracks record management activities, including monthly and annual scorecard reporting on privacy and document management information
- Serves as a partner to internal Staff, Talent Partners, Legal Partners, and vendors
- Ensures that records are appropriately described and identified
- Develops and manages the process for Talent records request by Staff and vendors and directs the delivery of that information as requested
- Develops and maintains a records retention scorecard
Minimum Qualifications
- Minimum 5 years of professional related experience
- Evidence of analytical, organizational, communication, project, and time management skills and demonstrated ability to set priorities, meet deadlines, and complete tasks and projects on time and within budget and in accordance with task/project parameters
- Exceptional skills in excel, access, and other databases
- Great project management skills
- Excellent verbal and written communication skills
Preferred Qualifications
- Professional certificate or other education in records or archives management (e.g., CRM, CRA, IGP, CIPP, CIPM, BA/MA in Library Science or Archives, etc.)
- Experience in the creation and management of records retention schedules
- Familiarity with general legal terminology and issues related to discovery and document production
