The incumbent will provide high-level executive administrative support to the General Counsel, Chief Administrative Officer (Executive). This role involves interaction with the New York Stock Exchange (NYSE) and the Securities and Exchange Commission (SEC), and regularly, the Board of Directors. The Executive Assistant will also support various functional groups reporting to the CAO and manage a broad range of administrative tasks. Responsibilities include, but are not limited to coordinating complex scheduling, arranging domestic and international travel, organizing all-hands meetings, processing and reconciling expense reports, managing the board portal and liaising with internal legal teams.
Key Responsibilities:
Provide comprehensive administrative support to the Executive and other designated leaders, handling both routine and advanced administrative tasks—often of a confidential nature—including calendar management, travel coordination, and professional correspondence.
Serve as an integral part of the Executive’s office by proactively identifying opportunities to streamline workflows, enhance organizational efficiency, and deliver value. Manage systems for tracking reports, preparing for meetings, and executing large-scale events with a focus on cost-effectiveness and professionalism, while ensuring a high-quality experience for all participants.
Collaborate closely with internal teams to plan and execute functional and segment-wide events, such as town halls and all-hands meetings. Responsibilities include venue selection, catering, and coordination of meeting materials.
Prepare presentations and compose correspondence, as needed. Develop reports either proactively or upon request and take ownership of special projects as assigned. High attention to detail and commitment to quality are essential.
Draft, proofread, and edit sensitive documents and presentations.
Prepare, review, and process the Executive’s expense reports in compliance with company policies, ensuring accurate coding, documentation, and timely submission.
Exercise sound judgment and discretion while working independently with minimal supervision. Most responsibilities are performed autonomously, with general guidance provided on priorities and goals.
Basic Qualifications:
High school diploma or GED, with a minimum of 6 years of clerical and administrative experience
Proficient computer and typing skills, with the ability to quickly learn and adapt to new systems and tools
Experience with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), with strong working knowledge of email, calendaring, and document preparation
Preferred Qualifications:
Associate degree in Business Administration or a related field, with 7+ years of experience providing administrative support to executive-level leadership
Experience in a legal environment or supporting a General Counsel, with a strong understanding of legal protocols, terminology, and confidentiality
Excellent written and verbal communication skills, with the ability to interact professionally at all levels of the organization
Proven ability to prioritize and work efficiently under pressure, managing multiple tasks and deadlines in a fast-paced, dynamic environment
Support onboarding of Board members and ELT members and support preparation of Board of Directors and committee meetings
Assist in assembling, formatting, and distributing board books and confidential prereads via secure board portal software (e.g., Boardvantage)
Willingness to work extended hours during board cycles, SEC filing periods, or corporate transactions and have the flexibility to travel as needed
