Position Summary Information
Primary Purpose
The Medical Receptionist serves as the first point of contact for patients, visitors, and healthcare providers. This position is responsible for creating a welcoming environment, managing patient appointments, maintaining accurate records, coordinating communications, processing insurance and billing, and supporting efficient clinic operations.
Essential Functions
Patient Reception and Customer Service
- Greet patients and visitors in a professional, courteous, and compassionate manner.
- Check patients in and out for appointments.
- Verify patient demographic, insurance, and contact information.
- Address patient questions and concerns or direct them to the appropriate staff member.
- Maintain a positive patient experience and high level of customer service.
- Ability to multi-task and adapt to changing daily responsibilities.
- Strong attention to detail and patient-centered approach.
Appointment Scheduling
- Schedule, reschedule, and confirm patient appointments.
- Manage provider calendars and appointment availability.
- Coordinate referrals and follow-up appointments as needed.
- Send appointment reminders via phone, text, or email.
Administrative Support
- Answer and direct incoming phone calls.
- Manage incoming and outgoing correspondence, including mail, fax, and email.
- Maintain patient records and electronic health records (EHR) systems.
- Scan, file, and organize medical and administrative documents.
- Assist with data entry and reporting activities.
Insurance and Billing
- Verify insurance eligibility and benefits.
- Obtain required authorizations and referrals.
- Collect copayments, deductibles, and outstanding balances.
- Assist patients with billing inquiries.
- Process and reconcile daily payments.
Compliance and Confidentiality
- Maintain patient confidentiality in accordance with HIPAA and organizational policies.
- Protect sensitive patient and business information.
- Follow clinic procedures and regulatory requirements.
- High school diploma or GED required.
- Two (2) years of full time medical or dental front office experience.
Combination of education and experience will be considered.
Preferred Qualifications
- Medical or dental front office administration training or certification.
- 5 years of medical or dental office experience.
- Experience using electronic health record (EHR) systems preferred.
Knowledge, Skills, and Abilities
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Ability to multitask in a fast-paced healthcare environment.
- Proficiency in Microsoft Office Suite and office equipment.
- Strong organizational skills and attention to detail.
- Basic understanding of medical terminology and insurance processes.
- Ability to maintain confidentiality and professionalism at all times.
