INTRODUCTION

Under the direction of the Director of Operations, the Office Manager will directly supervise the Front Desk Staff and coordinate and oversee our organization’s operations.

MAJOR DUTIES/ESSENTIAL FUNCTIONS

Essential and other important responsibilities and duties may include, but are not limited to the following:

Major Responsibilities

  • General office management, including managing vendors, ordering supplies, support on onboarding new staff and remaining on-budget for operating expenses
  • Plan and coordinate all installations (telecommunications, heat, electricity etc.) and refurbishments.
  • Manage the upkeep of equipment and supplies to meet health and safety standards
  • Coordinate purchased fixed assets with finance

  • Inspect buildings’ structures to determine the need for repairs or renovations
  • Coordinate and cultivate relationships with maintenance contractors for needed building repairs.
  • Review utilities consumption and strive to minimize costs
  • Supervise all staff facilities staff (custodians, technicians, groundskeepers etc.) and external contractors.
  • Control activities like parking space allocation, waste disposal, building security etc.
  • Keep financial and non-financial records including business licenses and occupation certificates
  • Managing VOIP, Internet and MFA
  • Troubleshoot internal IT requests
  • Must be present on-site

MINIMUM QUALIFICATIONS

  • Bachelor’s Degree, preferred
  • 3-5 years of Operations and Facility management experience preferred
  • Proficient in Excel, Word, and PowerPoint


REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Strong understanding of the concepts and practices associated with effective operations management.
  • High degree of customer service skills and philosophy to include professionalism, responsiveness, and follow-through.
  • Handle multiple tasks effectively and meet deadlines.
  • Strong organizational skills and attention to detail and accuracy.
  • Demonstrated ability to show a high degree of initiative and proactive planning and learning.
  • Ability to communicate effectively verbally and in writing with individuals or groups.

PERSONAL CONTACTS

The position requires contact with staff at all levels throughout the organization.  There are also external organization relationships that may be a part of the work of the incumbent.

PHYSICAL EFFORT AND WORK ENVIRONMENT

PHYSICAL DEMANDSThe position requires the incumbent to be able to move easily about the health center.  The work is basically sedentary in nature.  However, some walking, bending and the carrying of light items are required.

RISKS

The position involves everyday risk and discomforts, which require normal safety precautions typical of such places as offices, meetings, training rooms, and other District Healthcare Services sites.  The work area is adequately lit, heated, and ventilated.  All medical services shall be provided according to medically accepted community standards of care.  The employee shall provide evidence of a recent (within the past twelve (12) months) health assessment that includes a PPD and/or chest x-ray results.
