Job Description Summary

Coordinates benefits office activities and programs to enable effective and efficient operations. Provides complex and diversified administrative support to assist the Executive Director in addressing administrative and business details involved in benefits programs. Acts as secretary to several standing committees to ensure accurate and thorough documentation of committee activities.

Job Responsibilities

  • Provides diversified and complex administrative assistance to the Exec. Dir. of HR – Benefits: maintains Director’s calendar, coordinates and arranges appointments and meetings, greets Director’s visitors; assists Director with composing, proofreading, and distributing accurate brochures, correspondence, and reports. Assists with making travel arrangements and producing expense reports for the Director
  • Assists supervisor, executives, managers, and benefits committees, etc. on related activities and operations. Serves as staff and resource person for the Personal Benefits Committee, Working Group, and Tax-Deferred Retirement Investment Committee by scheduling the meetings, preparing and/or distributing the materials for the meetings, writing the minutes, and following up with the Committee members on their comments/suggestions.
  • Coordinates the daily operations and/or administrative activities of the Benefits office. Ensures/ coordinates proper servicing of equipment. Orders, and maintains an adequate inventory of office supplies. Manages the archive retention files and office activities. Coordinates work requests/activities to ensure smooth workflow  
  • Coordinates and plans various department events such as Open Enrollment and Wellness Fair, Retiree Annual Selection Fair, Penn Resource Fair, Retirement seminars, and other Benefits sponsored events.
