 Administrative Assistant

The administrative assistant position is one of the most important roles for our company as it is the face of the company. This role will not only gather information, but also provide a patient welcome experience and let our patients know they will be well cared for with one of our excellent providers.

Job Duties 

  • Conducts business in a service-oriented manner that is attentive, cooperative, sensitive, respectful and kind with all patients, visitors, the public and all colleagues
  • Verifying patient’s medical benefits
  • Accepting payments from patients and families as well as posting payments in the EMR
  • Proficient in understanding insurance plans to relay cost benefits to patients such as copays, deductibles, co-insurance and out-of-pocket
  • Scheduling and canceling appointments from multiple sources i.e. online scheduling, via text, phone calls and any other form of appointment request
  • Verification that all necessary requirements are met prior to patient’s scheduled appointment 
  • Clerical duties such as answering telephones, check-in, checkout and record processing as requested, appointment scheduling and patient intake, data verification, office communications
  • Attends staff meetings as required
  • Ensuring that all patient communication is replied to in a reasonable time frame from patient portals, emails, voicemails etc. 
  • Follow up on all patient requests for example request to speak with providers, requests for information, medication questions and concerns
  • Review patient request and ensure timely transfer of information to other departments as needed 
  • Ensure labs and other clinical data is secured in the patient’s medical record
  • All other duties as assigned

Requirements

Education:

  • High school diploma or equivalent required.
  • Associate or bachelor’s degree in business administration or a related field preferred.

Experience:

  • 2 years of experience in an administrative or office support role is advantageous.
  • Familiarity with office software and tools, such as Microsoft Office Suite, is beneficial.
  • Experience in customer service and communication is a plus.


Preferred Qualifications

  • Clinic or office experience preferred
  • EMR knowledge
  • Excel and/or strong computer skills
  • Communication and customer service 


The pay range displayed on this job posting reflects the anticipated range for this position. A successful candidate’s actual compensation will be determined after taking factors into consideration such as the candidate’s work history, experience, skill set, and education. This is not inclusive of the value of ARC Health’s benefits package, which includes, among other benefits, healthcare/dental/vision, and retirement.
