Shift/Schedule: Full Time (40 hrs/wk)
GENERAL SUMMARY
Works under the supervision of the Administrative Director of Surgical Services. The Assistant's primary function is to coordinate and assist with the daily operations of the Surgical Services Lines. The Assistant will also provide support to the Anesthesia Department when needed. Oversees the general operation of the automated Scrub inventory system and assists with VendorMate compliance. The Assistant will also be responsible for projects and secretarial and administrative duties for the department. Performs other duties as assigned.
QUALIFICATIONS
Education:
• High School Diploma or successful completion of an equivalent High School Exam Required
• Medical terminology required
• Some college preferred
Licensure:
• None
Experience:
• One year related work experience necessary to gain full knowledge of secretarial office and administrative procedures preferred.
JOB SPECIFIC DUTIES AND PERFORMANCE EXPECTATIONS

1. Assists the Director by initiating, composing, and typing correspondence and reports with minimal direction.
2. Assists with administrative report preparation, performs topic research.
3. Attends, records and distributes minutes for various Surgical Services committees and meetings.
4. Coordinates conferences, meetings and completes travel arrangements for Surgical Services.
5. Maintains departmental dashboards and is responsible for collecting specific indicator data.
6. Assists with the maintenance of Surgical Services internal websites.
7. Schedules meetings, appointments and maintains personal calendars for leaders of Surgical Services.
8. Utilizes computer for data, information retrieval and printing service line and organizational reports.
9. Opens, screens, and prioritizes mail.
10. Answers, screens, and refers incoming calls/visitors.
11. Develops, implements and maintains record keeping and filing system.
12. Maintains and operates office equipment.
13. Manages Surgery Department locker allocation process.
14. Oversees ScrubEx operations and usage
15. Orders/stocks office supplies.
16. Assists with maintaining VendorMate compliance
17. Performs other duties as assigned.
