Position Title:  Assistant / Associate Athletics Director for Finance/Business Operations

Department:  Intercollegiate Athletics

Reports to:  Deputy Athletics Director

Appointment:  Full-Time; 40 hours per week/12 months

Status:  Exempt

Purpose of Position: To serve and represent the Athletic Director managing the day-to-day business operations of the athletics department. This position reports directly to the Deputy Athletics Director.

Responsibilities:

  • Provides administrative leadership and guidance to various departments within the University as they relate to athletics.
  • Assist with budget forecasting and management plans as directed by the Senior Associate Athletics Director.
  • Analyzes and recommends necessary changes to departmental policies and procedures including recommendations to increase overall effectiveness of business, finance, facilities, event management.
  • Serve as a secondary liaison to the Controller.
    1. Manage all departmental internal accounting.
    2. Ensure that all travel and recruiting expenditures comply with NCAA legislative requirements.
    3. Ensure that all department expenditures comply with University policies and regulations.
    4. Assist with NCAA Fiscal Reporting and Agreed Upon Procedures.
  • Approve and allocate department expenses and revenues.
    1.  Facilitate payment to vendors, (i.e. review bills and statements, and assign appropriate accounts to be charged, submit for approval).
    2. Coordinate and audit all revenues and deposits including on-line platforms.
    3. Final review and allocation of monthly bank card statements.
    4. Process monthly expense credit, recruiting, and travel summaries for approval and payment.
    5. Prepare cash advance requests and reconcile accordingly.
    6. Internal transfers.
  • NCAA and conference related responsibilities.
    1. NCAA annual reporting (e.g., Sports sponsorship and demographics, revenue distribution, academic enhancement, student-athletes fund)
    2. EADA financial reporting.
    3. Annual conference financial reports.
    4. Tournament and post-season bidding.
  • Assist the Senior Associate Athletics Director with contractual matters including review and approval of:
    1. Game contract and guarantees.
    2. Multi-year purchasing and rental agreements.
    3. Athletic insurance contracts.
    4. Multi-year maintenance agreements.
    5. Coach employment contracts.
  • Approve and audit hourly payroll for student help, classified/hourly and part-time workers (e.g., Braves Vision, Ticket Office, study hall monitors, and marketing student workers).
  • Supervise and delegate responsibilities of Equipment Manager.
  • Assist with the day-to-day supervision of the Director of Ticket Operations.
  • Serve on Department, University, Conference and NCAA committees as assigned.
  • Serve as event/side coordinator at athletics events.
  • Other duties as assigned by the Deputy Athletics Director or Vice President for Intercollegiate Athletics.

A Bachelor’s degree is required, with a major in business or accounting preferred; the successful candidate must also be willing to uphold the mission and values of Bradley Athletics and adhere to all NCAA, Missouri Valley Conference and University rules and policies.
