Job Description Summary:

Under immediate direction, the College Student Hire will support efforts to modernize and streamline access to National Academy of Engineering (NAE) institutional knowledge, including meeting minutes, governance documents, and bylaws. This role will assist in organizing, digitizing, and preparing materials for integration into an AI-supported research and retrieval system.

This position is intended for college students interested in science, engineering, medicine, or business operations who seek to gain practical experience and develop professional skills. Under direct supervision or clearly defined procedures, the incumbent performs a variety of clerical and research duties and accomplishes routine tasks.

Founded in 1964, the National Academy of Engineering (NAE) is a private, independent, nonprofit institution that provides engineering leadership in service to the nation. The NAE advances the nation’s welfare and prosperity by providing independent, objective advice to the U.S. government and by promoting a vibrant engineering profession and public understanding of engineering. The NAE is part of the National Academies of Sciences, Engineering, and Medicine, an independent, nonprofit organization chartered by Congress to provide objective analysis and advice on matters of science, technology, and health.

Job Description:

ESSENTIAL JOB DUTIES

Knowledge Management & Document Preparation Support

  • Collects, organizes, and catalogs historical meeting minutes, governance documents, and bylaws.

  • Converts documents into standardized digital formats and reviews materials for completeness, consistency, and accuracy.

  • Applies naming conventions and metadata tagging to support efficient indexing and retrieval.

  • Assists in uploading and structuring documents for use with AI-supported tools and workflows.

  • Supports development of internal processes for document retrieval and knowledge management.

  • Tests and validates AI-generated responses for accuracy and reliability.

  • Maintains confidentiality and ensures proper handling of sensitive organizational information.

Communications Support

  • May participate in updating unit web pages and other communications or media activities.

JOB SPECIFICATIONS

Required Knowledge, Skills, and Abilities:  

  • Proficiency in Microsoft Office Suite.

  • Experience with document management systems or databases.

  • Experience with data entry, tagging, or archival work.

  • Basic understanding of AI tools (e.g., ChatGPT or similar platforms).

  • Strong organizational and analytical skills, with attention to detail and accuracy.

  • Ability to prioritize work and adapt to changing priorities.

  • Ability to solve problems by following established procedures and with supervisory guidance as needed.

  • Ability to work effectively in a team environment.

  • Ability to build working relationships across departments through effective communication.

  • Strong written, verbal, and interpersonal communication skills, with the ability to interact with all levels of staff.

  • Ability to handle sensitive information with discretion.

Minimum Education/Training Requirements:  High school diploma, GED, or equivalent knowledge.  Current enrollment in an undergraduate or graduate degree college or university program. Preferred fields: Information Science, Business Administration, Public Policy, Library Science, or related areas of study.

Minimum Experience:  None.

Physical Capabilities:  Ability to work at a computer for extended periods of time.

Required Licenses, Certification or Registration:  None.

Supervisory Responsibilities/Controls:  Reports to manager/supervisor.  Supervisor is available to organize work, set objectives, and to assist in problem resolution.

The compensation for this position is $18.50 per hour, plus potential overtime.

Work Environment: Hybrid Office/Telecommute environment, expected onsite percentage 60%, with occasional travel between National Academies’ facilities and to off-site meeting/sponsor locations.
