Job Summary: The College Book and Material Manager acts as a liaison between the college and the bookstore, ensuring efficient operations and accurate handling of academic materials. This role involves updating and maintaining booklists and material lists, requiring proficiency in Excel and data entry. The ideal candidate will have excellent organizational and communication skills, with a strong attention to detail. 

Key Responsibilities: 

  1. Booklist and Material Management: 
  • Collaborate with Instructional Design to gather and update booklists and required materials for each course. 
  • Maintain an accurate and up-to-date database of books and materials. 
  • Ensure timely dissemination of materials to students and bookstore staff. 
  1. Data Entry and Management: 
  • Perform data entry tasks related to booklists and material lists. 
  • Utilize Excel to organize and analyze data, creating reports as needed. 
  • Maintain accurate records and perform regular audits to ensure data integrity. 
  1. Communication and Coordination: 
  • Serve as the primary point of contact between Instructional Design, Department Leadership, and the bookstore. 
  • Facilitate communication regarding booklist changes, new editions, and out-of-stock materials. 
  • Coordinate with the bookstore to ensure availability of required books and materials for each semester. 
  • Develop a system for communicating edition updates and out of print materials with Instructional Design and Department Leadership. 
  1. Customer Service: 
  • Resolve issues related to book integrations and course materials. 
  • Provide excellent customer service to enhance the overall experience for students and faculty. 
  • Use the South College HelpDesk to assist students with accessing course materials. 
  1. Reporting and Analysis: 
  • Generate regular reports on booklist updates, inventory levels, and sales. 
  • Analyze data to identify trends and make recommendations for process improvements. 
  • Report findings to college administration and bookstore management. 

Requirements

 

  • Bachelor’s degree in Business Administration, Library Science, Education, or a related field preferred. 
  • Proven experience in data entry and management, with strong proficiency in Excel. 
  • Excellent organizational and time management skills. 
  • Strong attention to detail and accuracy. 
  • Effective communication skills, both written and verbal. 
  • Ability to work collaboratively with diverse teams. 
  • Experience in an academic environment is a plus.
