The Department of Neurosurgery is seeking a highly organized and proactive Neurosurgery Patient Care Coordinator (Administrative Assistant 3) to provide advanced administrative and patient support within the Physical Medicine & Rehabilitation (PM&R) Program. This position serves as a key member of the team, ensuring efficient clinic operations and exceptional service to patients, families, and providers.

Responsibilities include:

  • Coordinating patient care, continuity, and follow-up.

  • Managing clinic scheduling, appointment preparation, and documentation.

  • Assisting patients with diagnostic test scheduling, referrals, and authorizations.

  • Handling patient communications, medical records requests, and medication refill processing.

  • Maintaining provider calendars, travel, reimbursements, and academic materials (CVs, publications, CME records).

  • Supporting procurement and equipment maintenance.

  • Performing general administrative duties and special projects as assigned.

The ideal candidate is detail-oriented, adaptable, and able to prioritize multiple tasks in a fast-paced clinical environment. The role works under the general supervision of the Clinical Director, Clinical Operations Manager, and attending physicians, following departmental and university policies and procedures.

Salary Range: $30.36 -  $43.49/Hourly

Required:

  • High degree of adaptability.
  • Skill in prioritizing assignments to complete work in a timely manner when there are changes in workload and assignments, pressures of deadlines, and/or a heavy workload.
  • Demonstrated basic knowledge of physician office policies and procedures.
  • Ability to establish and maintain cooperative and collaborative working relationship with medical, nursing and administrative personnel.
  • Skill in working independently and following through on assignments with minimal direction.
  • Knowledge of neurological/neurological surgery/orthopedic surgery medical terminology to communicate effectively with physicians, nurses and other members of the health care community.
