About the role
Site: North Shore Medical Center, Inc.
We are located at 2 Corporation Way in Peabody, MA. This practice has 26 exam rooms and offers Primary Care, Specialty Care (OBGYN, Pulmonary, Rheumatology, Cardiology, Endocrinology, Nutrition, Urology, GI), Diagnostic Testing, and Lab Draw onsite.
We are seeking a full-time, 40-hour Clinic/Practice Assistant to work onsite at our Primary and Specialty Care practice located at 2 Corporation Way in Peabody, MA. Our hours of operation are Monday through Friday from 8:00am to 5:00pm, with staggered shifts.
This role is ideal for a customer service professional who:
•Is a quick learner or career pivoter seeking structured support
No healthcare experience required. You’ll receive a 90-day preceptor program plus ongoing training and support from Team Leads to build confidence and healthcare expertise over time.
•Values teamwork and ownership
You’ll be matched to 1–2 consistent providers in either primary care or a specialty, allowing you to build relationships and develop expertise.
•Is comfortable with direct communication and real-time feedback
You’ll routinely work with the same providers and teammates to deliver excellent patient care, using open and honest communication to keep the pod running smoothly.
•Thrives in a consistently high-volume environment with variety
This role supports up to 100 patients per day, with rotation between check-in and phone coverage to build well-rounded administrative support skills and avoid monotony.
The work moves at a steady, busy pace, but you’re supported by strong collaboration, clear workflows, and a team that has your back.
Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
Does this position require Patient Care? No
Essential Functions:
-Make patient appointments and maintain appointment records.
-Greet and assist patients.
-Answer telephones, assist callers with routine inquiries, and schedule appointments.
-File materials in patient folders and print appointment schedules.
-Process patient billing forms and scan documents to patient medical records/LMR.
-Call for patient medical records and laboratory test results.
-Open and distribute unit mail or faxes.
-Type forms, records, schedules, memos, etc., as directed.
-May be required to accept co-payments.
-Handles, screens, and/or takes messages related to prior authorizations,
provider questions, prescription refills, and test results.
-Acts as "Super User" for scheduling, registration, and billing systems.
-Provides assistance and training to others in these areas.
-May perform more complex or specialized functions (i.e., surgical scheduling, schedule changes/blocking) at a more advanced competency level.

Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under general supervision. Performs basic clerical work and tasks that are repetitive and routine. Administrative duties related to patient visits, including scheduling, check-in, and check-out duties.
