Job Description
As the HR & Payroll Specialist, you will act as a trusted advisor on all aspects of local specialist HR topics for the Warsaw Hub, and, where appropriate, the Warsaw office, along with an oversight of compensation & benefits (including payroll) and with subject matter expertise in local employment law and regulatory matters.
You will work closely with the Warsaw Hub lead, Senior HRBP (Warsaw Hub), the Warsaw Office Manager and HR team, regional HRBPs and key relevant stakeholders to deliver people priorities aligned to the firm's People and Talent Strategy. You will also work with your wider HR team where required to ensure that you deliver consistent, highly efficient and a high-level employee experience across the firm.
You will be responsible for:
Policies and Processes
- Work with the Global Service Delivery team in accordance with the global operating model, to ensure the smooth delivery of end-to-end HR Administration and Payroll services for Warsaw based employees (ie. personnel files administration, entering and controlling data in the HR and payroll systems, payroll preparation and accounting, absence records' management; preparation of declarations and reports for external institutions such as Social Insurance Institution, Tax Office, GUS, PFRON, PPK).
- Ensure all standard processes are administered efficiently, fairly, consistently and within agreed timescales (i.e. probation periods, references, visa documentation, bank transfer/salary letters) and, working with the Global Service Delivery team highlight further opportunities to deliver a seamless HR experience to key stakeholders.
- Work closely with the compliance team on the drafting of new local policies and/or updating existing ones.
- Off-boarding process: ensure all off-boarding processes are complete including equipment returned, confidentiality and compliance agreements signed and exit interview completed (in collaboration with the HR Business Partnering team).
Compensation and Benefits, Global Mobility
- Support the year end compensation process as well as provide advice on local compensation and benefits queries.
- Provide HR payroll expertise in support of and in collaboration with the Compensation & Benefits team.
- Act as primary contact for all international secondments, working with the Global Mobility team, relevant HR Business Partners and external tax advisors where required.
People and Talent Strategy
- Contribute to the development and deployment of all global and regional HR projects.
- Drive a culture of inclusion and diversity and empower business leaders and Partners to do the same. Assist with the development and implementation of D&I action plans.
Employee Relations
- Work closely with relevant stakeholders including HRBP team on employee relation matters as well as oversee all employee relations and administration, including terminations.
- Ensure all employee related policies are communicated and implemented consistently e.g. absence management, maternity, disciplinary.
- Work closely with other local HR Specialists in the office (where relevant) on regular training and compliance with Health & Safety.
- Ensure compliance with local employment legislation (laws, regulations, collective agreements, contracts etc.); reviewing regularly all legal and regulatory changes, as well as any changes to applicable collective agreements; updating payroll parameters in collaboration with the payroll team and external provider.
Talent Acquisition (TA)
- Lead and/or support the TA specialists with the on-boarding of all new joiners.
- Meet all new joiners in Business Professionals (up to Manager level career band) within 2 weeks of joining, and then again at the end of their first 100 days.
