About the role

Primary Purpose 

Manages the day-to-day departmental operations.  Collaborates with leadership to supervise, develop, and align registry activities according to system and regional objectives in support of Enterprise strategic initiatives.  Responsible for coordination, facilitation, and implementation of formal data registry components needed for care management, business, research, and quality improvement initiatives across the enterprise while ensuring compliance with state and federal regulations and accreditations.

Major Responsibilities 

  • Manages a team to provide clinical synthesis, distribution, and analysis of internal and comparative data in support of system strategic, operational and quality projects.  Works in collaboration with facility executives, service line leaders and operational leads.  Translates operational and clinical needs into analytic and reporting strategies. Collaborates with service lines on development and execution plans for improvement opportunities in enterprise-wide clinical performance and outcomes.  Oversees internal data collection and reporting and ensures submission standards are met for the appropriate governing entities. 
  • Establishes registry support services including all aspects of registry compliance with all applicable state agencies, federal regulations and statutes, including overseeing compliance with external accreditation standards. 
  • Ensures timely and accurate collection and submission of complex data as mandated by State and National databases, including CMS, Payor, and Accreditation entities. 
  • Oversees development and implementation of interoperability and validity processes, ensuring hardware and software requirements are in place to support efficiency and accuracy of documentation for abstraction, entry and submission, and ensuring appropriate data reporting tools are developed and utilized.
  • Coordinates management oversight of all assigned registries across the enterprise to ensure uniformity, accuracy, timeliness, and integrity of the databases throughout the enterprise.
  • Directs and executes multiple, concurrent projects independent of or with little supervision from leadership.
  • Develop process for validation and inter-rater reliability audits within the registry to ensure accurate data abstraction.
  • Serves as support liaison to service line committees within the enterprise, ensuring that report requirements for ongoing quality improvement activities are provided as requested. 
  • Abides by and oversees standards pertaining to mandated data submission and confidentiality rules and regulations set forth by state statute and federal regulations.  Maintains current knowledge and understanding of privacy, confidentiality, and consent for release of information issues and directs abstraction/registry teammates on specific issues or changes as they occur and oversees all abstracted data requests according to legal and regulatory statutes.
  • Assists in consulting, planning, preparing for formal site inspections and surveys by state or federal agencies and establishing, maintaining and supporting national accreditations that require registry support.
  • Leads and coordinates implementation of data system software, executes updates, enhancements and corrections, as appropriate.
  • Facilitates departmental operations including the development and implementation of orientation plans, training, monitoring of productivity, and updating policies and procedures.  Provides team support in presentation skills, reporting, and interpreting results of the data including any statistically benchmarked comparisons.
  • Performs human resources responsibilities for staff which include interviewing and selection of new employees, promotions, staff development, performance evaluations, compensation changes, resolution of employee concerns, corrective actions, terminations, and overall employee engagement.
  • Develops and recommends operating and capital budgets and controls expenditures within approved budget objectives.
  • Develops policies and procedures for data management.
  • Designs and directs the work of the team(s). Selects, coaches, and develops team(s). Sets clear expectations to inspire and motivate the team. Manages performance by recognizing achievement, providing feedback, and administering progressive discipline when necessary.
  • May develop and/or recommend operating and capital budgets and controls expenditures within approved budget objectives.
  • Responsible for understanding and adhering to the organization's Code of Ethical Conduct and for ensuring that people actions, and the actions of employees supervised, comply with the policies, regulations, and laws applicable to the organization's business.

Minimum Job Requirements 

Education: Bachelor’s Degree in healthcare related field
