As a key member of the Travel With Alan team, the Group Operations Associate will work in conjunction with our Group Reservations Team to collectively support our group travel division. You will utilize your superior organization and task management skills to ensure the highest level of client satisfaction through document creation, travel coordination, and operations support.
This role will work closely with Travel With Alan new and existing clients, cruise partners, fellow Travel with Alan’s Finalization, Reservations & Operations Teams. This position will report to Travel With Alan‘s Manager, Group Operations.
This position is 100% office-based, and the prospective candidate should reside within commuting distance of Direct Travel’s Lynnwood office.
Expedition Expectations
- Coordinate with the Group Reservations Team to maintain our customer database and organize client information into spreadsheets (e.g., cruise line manifests, hotel rooming lists, air itineraries, ground transfers, and client preferences/requests).
- Deliver quality customer service on all calls and emails, proactively assisting with problems that might occur on a reservation and partnering with the Group Reservations Team or Leadership to resolve the problem in a courteous/timely manner.
- Prepare, edit, and distribute communications (e.g., letters, emails, invoices, reports, etc.) to clients, travel providers, and internal staff.
- Assist with invoicing and processing outstanding payments to ensure all clients are paid in full for their upcoming tour(s).
- Initiate responses to time-sensitive requests and ensure responsible parties respond within established deadlines.
- Support special projects as directed by the Manager, Group Operations or Director, Cruise Operations & Technology.
- Ability to travel up to 5%
Passport to Success
- May have previous experience in working in operations support or customer service.
- Must have excellent interpersonal and communication skills (verbal and written) to interact with customers, employees, and travel providers.
- Has work history reflecting ability to apply critical thinking and problem-solving skills, with excellent judgment and initiative.
