ABOUT ONEX:

The Opportunity: 

We are looking for an Executive Assistant to support the Onex Credit team and assist the Facilities team with day-to-day operations in London The expectation is that 75% of the successful hire’s time will be spent on executive administration work and the balance on facilities support; this may change depending on business needs and requirements. The ideal candidate will already have resilient transferable skills, rooted in customer service, looking to grow within a small but high performing team of Executive Assistants. 

Key Responsibilities: 

Executive Administration Support: 

  • Maintenance and management of calendars for several team members utilizing Microsoft Outlook.  
  • Scheduling of meetings and travel coordination. 
  • General administrative support including creating, maintaining, and editing documents, spreadsheets and presentations. 
  • Coordination of internal and external meetings to include room reservation, equipment set-up, catering, and meeting material preparation. This will the management and coordination of interviews as it relates to team recruitment. 
  • Reception duties as required. 
  • Arrange international and domestic travel for executives including flights, hotels, car rentals, and car services as required. 
  • Process expense reports in compliance with firm policies. 
  • Handle incoming communications and respond or redirect as appropriate. 
  • Other administrative and reception duties as required.
  • Meet guests and make any required beverages. 

Facilities Support: 

  • Support the daily operations of the London office. This will include but not limited to managing kitchen spaces and related deliveries. 
  • Assist with desk moves, space planning, and meeting room setups. 
  • Help track and report facilities issues and follow up on resolutions in a timely manner.
  • Act as point of contact in the absence of the Facilities Manager. 

Candidate Profile: 

Qualifications & Attributes 

  • 2+ years of related administrative/executive assistant experience or 5+ years in a customer-facing role. 
  • Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoin
