About the role
Job Summary
This position supports the Human Resources Organization at Mississippi Power. This job will provide administrative support to the leadership and employees across the Human Resources and Safety & Health teams.
This position is responsible for providing administrative support including, but not limited to:
- Provide general administrative support for the HR organization
- Coordinate logistics for department meetings and events
- Organize and maintain supplies for department, including overseeing inventory and ordering
- Provide data and documentation support with high proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint, etc.) assist in maintaining databases and creating reports, presentations, compliance documentation, etc., as needed
- Organize and schedule meetings, while maintaining calendars as needed
- Manage, update and maintain the HR website
- Provide administrative support utilizing ORACLE: procurement card administration, invoice reconciliation/processing, and expense statements, while ensuring designated processes and procedures are followed
- Provide support for bi-weekly timesheet submissions ensuring processes, procedures and proper accounting guidelines are followed
- Ensure proper records management practices (records retention policies) are followed
- Assist in the administration of the Company’s PCL Program
- Manage Service Anniversary program, including ordering and distributing awards, processing invoices, assisting with the annual Service Award Banquet
- Company liaison and contact for MPC retirees, including sending reminders and attending monthly meetings, responding to emails and phone calls, generating yearly check request for each chapter, filing annual report with the Mississippi Secretary of State, assisting with the Retiree Luncheon, and managing the MPC Retiree Facebook page
- Assisting with special projects and tasks within the Human Resources Organization, as needed
Knowledge, Skills, and Abilities
- Proficiency in Microsoft applications including Outlook, WORD, EXCEL, Power Point required
- 3 years or more of administrative support experience or 3 years or more of Mississippi Power Company experience highly preferred
- Invoice reconciliation experience highly preferred
- Maximo or similar software knowledge highly preferred
- ORACLE software experience highly preferred
- Ability to be flexible, organize, prioritize, and perform multiple/diverse activities with minimal supervision
- Ability to make administrative/procedural decisions using sound judgement
- Effective written and verbal communication skills
