Yacht Accounts Assistant

SUMMARY:
Provide financial administrative support to the Yacht Account Managers within the Company. Duties include, but are not limited to general clerical, bookkeeping and accounting, A/P, assistance with crew-related issues, project-based assistance such as refit and charter accounting. Interact and communicated to third party representatives, (i.e. Captain, Owner's Rep, Owner). To reflect and maintain a professional company image whether in-person, through telephone interaction or when attending industry related functions.
PRIMARY RESPONSIBILITIES:
- Initiate and supervise the set up of Bank Accounts and Credit Cards for new vessels and Captains
- Assist Yacht Accounts Managers daily.
- Assist with accounts payable – including data entry, check processing, wire transfer entry, check mailing and document scanning.
- Assist with payroll processing, including knowledge of tax and foreign withholding regulations, processing wires, ACH’s and checks, payroll liability calculations and payments.
- Assist with month end audits of the vessel’s cash and credit card accounts.
- Assist with maintaining crew documentation, including knowledge of yacht ratings and US and foreign Visa issues.
- Assist with annual W-2 and 1099 processing.
- Assist with annual forecasts & budgets.
- Assist with budget discrepancies to the captain monthly.
- Assist with new bank account setup and credit cards as needed.
- Assist with email monitoring, bill payment etc. when a yacht account manager is on holiday.
- Answer phones, meet and greet ‘walk ins’.
ADDITIONAL RESPONSIBILITIES:
- Banking – deposits at local bank branches.
- Post office, FedEx handling.
- Order office supplies, general Fairport office support and errands as needed.
- Attend boat shows and other industry related events
KNOWLEDGE & SKILL REQUIREMENTS:
- Must be computer proficient – software used will include Microsoft Office including Excel, Word, Adobe, Microsoft Outlook, Quicken and QuickBooks.
- Duties require professional verbal and written communication skills. Basic office and filing skills.
- Friendly and cheerful attitude with excellent interpersonal skills.
- Acquire knowledge of industry standards and lifestyle.
- Task prioritization.
- Highly organized.
