Maintenance Coordinator

Accountable for the scheduling of corrective, preventive, predictive and outage related electrical systems, instrumentation, and mechanical maintenance activities. The coordinator reports to the Maintenance Manager and supports the maintenance team members to achieve maximum facility availability in a safe, efficient, and cost-effective manner within all environmental, regulatory and safety standards. This involves ensuring that Job Plans are developed for all required Work Orders, scheduling Maintenance activities and the coordinating the necessary resources to accomplish that objective.
Responsibilities:
- Approach all work order planning and scheduling with the understanding that all work must be performed in a manner that is free from recognized hazards.
- Determines if approved Work Orders require formal planning and either advances the Work Order to the executable backlog, assigns to the Maintenance Planner for job planning, or develops the Job Plan as appropriate.
- Meets with Asset Owners weekly to prioritize the unplanned backlog of approved Work Orders.
- Assigns approved Work Orders to the Planner(s) for job planning based on the priority established by the Asset Owners. Performs job planning as necessary to supplement the Planner (refer to Maintenance Planner job description for responsibilities and qualifications)
- Maintains maintenance resource schedule (vacations, training, etc.)
- Meets with Operations Manager, Maintenance Manager, and Maintenance Supervisors/Leads weekly to develop the Weekly Maintenance Schedule
- Review completed Work Orders for follow-up work and feedback to planning.
- Produces a daily KPI report for maintenance schedule performance.
- Meets with the Maintenance Supervisor/Leads to develop the Daily Maintenance Schedule
- Coordinates and schedules service and material requirements (contractors, equipment, special tools) in accordance with the Weekly/Daily/Outage Schedule
- Manages the Outage Scheduling process
- Responsible for scheduling the work of up to 8 mechanics, 8 electricians and outside contractor maintenance activities. The position is responsible for the short and long-term scheduling of all planned maintenance activities. The position balances priorities, manpower, and material and equipment availability to develop department and individual work schedules.
Essential Duties:
- 30% - Prepare daily and weekly work schedules for up to 8 mechanics and 8 electricians.
- 30% - Prepare planned outage schedules. Collaborate with the Maintenance Planner & Plant Leadership to lead the scheduling, communication, and optimization of down day (including planned outage) activities
- 10% - Facilitate the Workflow process (work identification, planning, scheduling, execution, and auditing).
- 10% - Maintenance management administration includes providing plant support and training, updating equipment hierarchies, PM generation, etc. Maintain equipment manuals and BOMs for equipment. Compile data and generate required reports for monitoring personnel and department performance against established goals. Generate reports as required for corporate review/compilation.
- 10% - Maintain and audit Preventive Maintenance work orders established in maintenance management system including: job plans, frequency, or work, etc.
- 10% - Monitor non-scheduled work and collaborate with Maintenance Planner for possible corrective actions through PM or routine inspections.
Qualifications:
- Associate degree in Engineering with four (4) years of relevant experience is desired and/or possess a minimum of eight (8) years’ experience in maintenance-related applications.
- Meets qualifications of the Job Planner
- Ability to use Microsoft Project or other advanced scheduling tools
Working Conditions:
- Must be able to work in outdoor environments and occasionally in temperatures above 100 degrees and below 32 degrees
- Willing and able to work in a hot, humid, cold, and noisy industrial environment.
- Willing and able to maintain strict adherence to safety rules and regulations, including wearing safety equipment.
Physical Requirements:
- Willing and able to perform tasks such as lifting, walking, climbing, stooping, standing, pushing and/or pulling for up to twelve (12) hours a day
