Evergreen Fire and Security is seeking a dedicated Warehouse Coordinator to be the backbone of our material flow and inventory system. This hands-on position manages everything from incoming materials to coordinating complex international freight, ensuring our projects and fleet team are fully supported. The Warehouse Coordinator is responsible for the full lifecycle of materials within the facility and takes direct ownership of all freight logistics and coordination.
Materials Management (Receiving & Shipping)
- Receiving:
- Verify the accuracy of all incoming materials against packing slips.
- Scan and file copies of packing slips and update the inventory system accordingly.
- Ensure materials are accurately labeled and placed on the assigned job shelf.
- Shipping & Freight Coordination:
- Prepare and process all outbound shipments by boxing or palletizing requested materials.
- Create necessary documentation for all individual shipments, including packing slips and shipping labels.
- Manage and execute all aspects of freight shipping, including:
- Accurately weighing and measuring all items and pallets.
- Securing freight shipments through strapping and wrapping pallets.
- Completing Commercial Invoices and all required paperwork for international shipments.
- Arranging pick-ups with carriers and preparing Bills of Lading (BOL).
- Affixing all required labels, packing slips, and BOLs.
- Update warehouse inventory records to reflect all outgoing materials.
- Processing Pull Requests:
- Review pull requests and ensure materials are collected and ready by the specified time.
- Update the status of completed pull requests in SmartSheet and notify the relevant pick-up party.
- Adjust warehouse inventory to reflect materials leaving for projects.
- Inventory Accuracy:
- Conduct monthly physical inventories (cycle counting) for selected jobs or shelves to verify and maintain the accuracy of the SmartSheet inventory system.
- Parts and Cost Transfers:
- Manage the movement of parts to different job shelves/locations as requested.
- Transfer leftover materials from completed projects to general stock upon approval from the Procurement Supervisor.
- Document necessary cost transfers to or from projects using the cost transfer sheet in SmartSheet.
- Tools Management:
- Ensure all company tools are assigned a TAC number for tracking.
- Manage accurate check-in and check-out of tools using the SmartSheet system.
- Create and replace TAC stickers for new or damaged tools.
- Consumables & Safety Equipment:
- Maintain accurate inventory levels of all general consumables (e.g., shipping supplies).
- Maintain inventory of safety equipment stored at external locations (e.g., JBLM).
- Notify the Procurement Supervisor or Safet
