About the role

The Senior Administrative Assistant will provide high-level administrative support to multiple managers in the Marketing & Communications department at a leading financial services company. This role requires exceptional organizational skills, strong attention to detail, and the ability to manage competing priorities in a fast-paced environment. The ideal candidate is proactive, resourceful, and a skilled communicator who thrives on creating efficiency and maintaining seamless operations.



Key Responsibilities and Duties

Administrative Support:

  • Manage and coordinate calendars, schedule meetings, and resolve conflicts for multiple managers.
  • Prepare and edit correspondence, reports, and other documents as needed with efficiency and a high degree of accuracy.
  • Handle confidential and sensitive information with discretion and integrity.
  • Maintain and organize digital files to ensure quick and efficient retrieval of information.

Meeting Coordination:

  • Plan, organize, and facilitate department meetings, including preparing agendas, taking minutes, and tracking follow-up actions.
  • Assist in the planning and execution of team events and offsites.
  • Arrange logistics for virtual and in-person meetings.

Project Support:

  • Assist with marketing projects and deliverables by tracking progress, coordinating deadlines and ensuring timely completion.
  • Act as a point of contact for internal and external stakeholders, relaying information and managing requests.
  • Coordinate with agencies and other external partners to ensure smooth execution of M&C initiatives.

Finance and Operations:

  • Process invoices, expense reports and purchase orders ensuring compliance with company policies.
  • Monitor departmental budgets and assist in preparing financial reports as needed.
  • Order office supplies and manage inventory for the department.

Communication and Collaboration:

  • Serve as a liaison between M&C and other internal teams.
  • Respond to inquiries from agencies, associates, and external stakeholders in a timely and professional manner.
  • Foster a collaborative team environment by anticipating needs and providing proactive support to colleagues.

Educational Requirements

  • High School Preferred

Preferred Skills:

  • 2+yrs of experience working as a Sr. Administrative support role, preferably supporting multiple executives in a corporate setting
  • Experience supporting the marketing line of business.
  • Experience in the financial services or marketing industry a plus.
  • Exceptional organizational and multitasking skills, with the ability to prioritize and manage multiple projects simultaneously.
  • Strong written and verbal communication skills, with attention to detail and accuracy.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with Zoom, Teams, and Concur.
  • Ability to work independently & take initiative.
  • Discretion and professionalism in handling confidential information.
  • Strong interpersonal skills and ability to work collaboratively with diverse teams.
  • Proactive mindset with problem-solving attitude.
  • Flexibility to adapt to changing priorities and work under pressure.

Anticipated Posting End Date:

Base Pay Range: $27.08/hr. - $51.92/hr.

Actual base salary may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location.  In addition to base salary, the competitive compensation package may include, depending on the role, participation in an incentive program linked to performance (for example, annual discretionary incentive programs, non-annual sales incentive plans, or other non-annual incentive plans).
