About the Position: 

The three Ethnic Studies Departments of African American Studies, Asian American Studies, and Chicana/o Studies are diverse and growing departments that are committed to student engagement and achievement, faculty and staff development and work-life balance, and social justice on campus and in the community. We seek an exceptional individual to join our team as the Ethnic Studies Assistant (Administrative Support Assistant II). The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under general supervision, the Ethnic Studies Assistant provides administrative and clerical support for a multi-department complex serving the departments of African American Studies, Asian American Studies, and Chicana/o Studies. Provides front office support by screening phone calls, assisting walk-in visitors, and processing and distributing mail. Orders textbooks and desk copies of books for all faculty and classes. Supports the Administrative Support Coordinators by assisting with the preparation of hospitality forms and collection of expense documents. Support faculty and students with their travel request and travel expense claims. Maintains the office supply inventory and ordering supplies. Prepare purchase requisitions for supplies and materials. Access databases for student record information, enrollment information, and registration permits and releases. Maintain and update the department’s website, social media accounts, and create and distribute marketing materials. Schedule office locations for temporary part-time faculty. Maintains the department’s conference room calendar and schedules meetings and appointments. Point of contact for the Student Opinion Questionnaire (SOQ) process and sends mass emails. Provides assistance with directing work and training the front office Student Assistants. Assists with symposia, commencement, events, and meeting planning. Serves as the backup Department IT Coordinator (DITC). Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and three years of experience in general office, clerical or secretarial work or the equivalent. General working knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of office methods, procedures, practices, and equipment.
