Position Details:
- Schedule: Monday - Friday 7:15 am - 4:15 pm or 8:30 am - 5:30 pm
Role Overview: As our Front Desk Administrative Assistant, you will provide outstanding customer service, making a positive first impression on all who enter our facility. You will assist Directors in maintaining high-quality service for our staff, clients, and their families. Your responsibilities will include data entry, verifying information, and handling routine requests for client records and related information. You will also offer routine guidance to staff and members of the public, resolve customer service issues, and perform various clerical and administrative tasks.
Key Responsibilities:
- Greet clients, families, staff, and visitors with a warm and friendly demeanor.
- Enforce security and visitation policies by monitoring traffic flow and ensuring all visitors sign in.
- Answer incoming phone calls promptly and pleasantly, screen and transfer calls, and take messages when necessary.
- Maintain student/client records, file documents accurately, and update storage logs.
- Adhere to HIPAA guidelines when handling requests for client information.
- Manage company credit cards, issue and log their use.
- Open, sort, and distribute correspondence, including emails, faxes, and mail.
- Manage Outlook calendars, make appointments, handle change requests, and update attendees as needed.
- Enter all student and parent information changes into online databases daily.
- Organize programs, events, meetings, and conferences, including arranging facilities, coordinating speakers, and controlling budgets.
- Provide administrative and programming support to various departments as needed.
- Schedule and assist with emergency drills, maintaining documentation paperwork.
- Perform campus errands, including courier services.
- Work independently and as part of a team on special projects, planning and coordinating presentations, disseminating information, and organizing companywide events.
- May perform direct care responsibilities and other related duties as assigned.

- Strong public contact skills, both internal and external to the organization.
- Excellent organizational, communication, and interpersonal skills.
- Ability to handle multiple tasks and work effectively in a fast-paced environment.
- Proficiency in data entry and managing confidential information.

Requirements
Education/ Certification:
- High School Diploma or Equivalent.
Experience/ Knowledge required:
- Minimum of one year of successful experience in a similar position preferred.
Skills/ Abilities:

- Ability to complete routine paperwork.
