About the role

Essential Duties

  • Word processing, filing and scheduling.
  • Preparation of internal and external reports
  • Compilation of weekly, monthly, and yearly QHSSE KPI updates
  • Record-keeping, using specialized software when necessary.
  • Responds to general inquiries from management, employees and clients inside and outside of the company
  • Coordinates and schedules meetings and conferences
  • Following up on outstanding tasks
  • Creates, assists with and updates presentations.
  • Prepares internal and external correspondence.
  • Assists with special projects as needed.
  • Support with communications via QHSSE DL inbox
  • Supporting QHSSE teams with pre and post audit activities
  • Experience in office administration supporting a team (desirable).
  • Experience in working with databases and modular software (desirable) packages.
  • Experience of data management and analysis.
  • Ability to organise and control.
  • Proven ability to communicate effectively with staff at all levels.
  • Proven ability to work in a multi-task environment.
  • Other duties as assigned.

Physical Requirements 

  • Talking, hearing and using hands to operate computer equipment.
  • Vision abilities required by this job include close vision and the ability to adjust focus.

Other Skills & Abilities 

  • Skill in use of MS Office
  • Dependability and ability to follow instructions.
  • Demonstrated accuracy and attention to detail.
  • Excellent interpersonal, verbal and written communication, planning and organizational skills.
  • Extensive knowledge of standard administrative practices, software applications and satisfaction survey software.
  • Ability to project, manage and produce executive quality reports.

 

Education Requirements

  • Secondary school qualifications English and Math's
  • 0-2 years previous experience providing administrative support.
  • Professional certification may be required in some areas.
