About the role

We are looking for an Executive Assistant to perform a variety of administrative tasks and support the Chief Executive Officer and Chief Operations Officer.  The EA will also be asked to provide additional support for the Chief Financial Officer and Chief Program Officer.  

The Executive Assistant’s responsibilities include managing calendars, coordinating meetings and event planning. To be successful in this role, you should be well-organized, be tech savvy, have a strong work ethic and be able to act proactively and without close supervision.

Minimum Qualifications

  • 2+ years experience as an Executive Assistant or similar responsibilities
  • Ability to work occasional nights and weekends to prepare for board meetings, and all staff events
  • Must have reliable transportation to travel to different locations within the Bay Area
  • Strong organization, time management and communication skills (verbal & written)
  • Able to maintain the highest level of confidentiality and discretion
  • Proficient in Microsoft Office Suite, G Suite, and Zoom
  • Basic knowledge of non-profit social services

Responsibilities (including but not limited to)

  • Plans and manages executive’s schedule: coordinates internally and externally, prioritizes time strategically, schedules telephone calls, video conference calls, and webinars with staff, Board of Directors, funders, customers, suppliers and other external meetings
  • Liaison to Board of Directors
  • Communication & coordination of meetings 
  • Compilation of Board packets (close collaboration with Executive Team and Industry Directors)
  • Take and distribute meeting minutes 
  • Drafts, prepares, and distributes correspondence, documents and presentations on behalf of CEO and COO, including creating initial drafts, proofing, editing, formatting.
  • Act as an event planner for the annual all-staff event, celebrations, management meetings and other internal/external meetings
  • Work closely with BACR’s IT Contracts Manager on the receipt & completion of all contracts
  • Create agendas, participate in, take notes in meetings and distribute notes and action items to attendees, and ensures follow up is completed as needed
  • Maintains business license certificates and renewals
  • Administer all travel details and expense reports for CEO and COO
  • Coordinate special projects as needed

Above is the pay range for this position that we reasonably expect to pay. Individual compensation is based on various factors including experience/education, skillset, and geographic location.
