Job Summary:

The Administrative Coordinator provides day-to-day administrative and front-facing operational support to the CFO’s divisions, serving as the primary point of contact for routine inquiries and ensuring timely completion of administrative tasks across multiple functional areas while ensuring a welcoming space for visitors.

The ideal candidate will demonstrate an adaptive mindset with the ability to support departments with differing operational and customer service needs. They communicate clearly and professionally across diverse functional areas, exercise sound judgment in handling sensitive matters, and proactively improves processes to enhance operational effectiveness.

Major Duties and Responsibilities:

Administrative Support

  • Provide day-to-day administrative support to CFO divisions and respond to time-sensitive needs

  • Maintain accurate records and coordinate priorities across the administrative team

Communication & Customer Service

  • Manage shared inboxes, triage inquiries, and serve as a professional point of contact

  • Oversee front desk operations and assist students, employees, and visitors

Financial Support

  • Process invoices and assist with check runs to ensure timely vendor payments

HR & Compliance Support

  • Support HR during peak periods (onboarding, scheduling, documentation)

  • Assist with insurance, COI requests, and compliance records

Campus Operations & Events

  • Coordinate class and event schedules and support space usage

  • Provide operational support for major campus events

Process Improvement

  • Assist with documenting and improving administrative processes

Required Qualifications:

  • Associate’s degree. Equivalent combination of education and relevant experience may be considered.

  • Two to four years of administrative or office support experience.

  • Demonstrated ability to provide high-quality customer service in a professional setting. 

Preferred qualifications (Nice to have, but not required):

  • Coursework in business, office administration, or a related field.

  • Previous experience working in a complex organizational environment or providing support across multiple stakeholders or departments.

  • Experience in higher education, nonprofit, or public-sector environments.

Special knowledge, skills, and abilities needed:

  • Strong organizational skills with attention to detail and the ability to manage multiple tasks and deadlines.

  • Proficiency in Microsoft Office Suite.

  • Excellent written and verbal communication skills, with a professional and service-oriented approach. 

  • Customer-service mindset with the ability to triage requests and escalate issues appropriately.

  • Ability to learn and follow institutional processes related to invoicing, scheduling, and recordkeeping.

  • Proficiency with standard office software and willingness to learn new systems and tools.

  • Ability to respond flexibly to unanticipated needs and shifting priorities.

  • Demonstrated reliability, teamwork, and willingness to support colleagues during peak periods.

Working Conditions:

Work is primarily performed in an office environment on-campus with frequent interaction across campus. Duties require regular use of a computer and standard office equipment. Occasional evenings or extended hours may be required to support time-sensitive institutional needs. This position requires in-person operational support during major campus events, including, but not limited to weekend coverage for Spring Commencement and extended hours during Fall Move-In and Orientation.
