Responsibilities / Position overview
The Associate Director of Project Management provides training and guidance to team members and direct reports, enforces processes/best practices, and assists in the development and implementation of SOPs/Process Operations. Additionally, the Associate Director will continue to engage in standard project management responsibilities by managing multiple workflows simultaneously and coordinating with various departments and individuals to ensure materials and resources flow through the project life-cycle in a timely manner.This position requires the incumbent to facilitate and lead knowledge-sharing sessions and encourage a culture of continuous learning within the project management team. The Associate Director is required to be hands-on, adaptable, detail and solutions-oriented and is designed to provide opportunities for professional growth, development, and advancement.The essential duties/responsibilities listed below are subject to change. Essential Duties/Responsibilities- Onboard, train, and assist in the development of junior project management staff, direct reports, and internal team members; providing coaching and mentorship to foster professional growth and development
- Contribute to the development and implementation of internal process improvement initiatives, including, but not limited to those involving project management
- Provide guidance and training on process, best practices, and ways of working to the larger team as needed
- Participate in the development of firm-building activities (client planning, marketing program design and execution, content expertise, and job skill improvement)
- Provide project management oversight for new business pitches as needed
- Train the project management team to proactively identify project timeline issues/challenges, assist in timeline issue resolution, provide accurate project updates, and collaborate effectively with team members to initiate and execute solutions
- Develop, maintain, and manage timelines for project deliverables throughout the project lifecycle; ensure all project deliverables are on schedule and completed according to designated milestones
- Traffic project deliverables through Account, Medical, and Support Service Teams to facilitate the timely and efficient development and execution of project deliverables
- Communicate regularly with internal and external team members (Account, Medical, Shared Services, and external partners/freelancers) regarding project progress
- Traffic and track the progress of project deliverables through project management software in an orderly and timely manner
- Prepare, update, and distribute weekly status reports; maintain project documentation and updates
- Schedule and lead weekly status and hot sheet meetings, in addition to scheduling team meetings based on project needs
- Manage the process of opening and closing projects according to established procedure, upon initiation or completion of project deliverables
- Manage and maintain the organization of project files and folders on internal network servers
- Prepare, package, and submit project deliverables and corresponding creative files and materials into vendor-specific Medical/Legal/Regulatory review system to ensure compliance with industry regulations and guidelines
- Provide editorial assistance on small projects when required
- Actively participate in weekly finance meetings and have an understanding of the financial process
- Show confidence in engaging with the client and providing status/project updates upon request
- Maintain timely submission of timesheets; review and qc internal team timesheet submissions for accuracy
Qualifications
- Bachelor's degree in marketing, communications, advertising, or related field
- 5+ years of experience in a fast-paced agency environment; Pharmaceutical ad agency experience preferred
- Demonstrated experience and success in leadership of cross-functional agency teams
- Highly motivated, good work ethic, maturity, and personal initiative
- Strong oral and written communication skills
- Strong attention to detail
- Fluency in Microsoft
