JOB TITLE:
Administrative Associate for Wyoming Institute for Disabilities (WIND)
JOB PURPOSE:
The purpose of this position is to provide comprehensive administrative support to WIND, which includes the academic program in Disability Studies, and multiple (20+) federal, state, and other grant funded projects. This person will support the WIND Director with departmental administration, stakeholder communication, and financial account management. This is the point person for the department's front office, so they will supervise some office staff, work study students, and part-time workers. This position also works closely with the WIND Leadership team to support budget management, reconciliation, and projections. Globally, this role provides program support and planning to enhance operational efficiency and effectiveness within a University Center of Excellence on Developmental Disabilities (UCEDD) with federally funded and mandated requirements.
This position is grant funded and considered at-will employment.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Administrative Support to WIND: coordinates and executes the administrative support of WIND leadership, faculty, and staff. This includes project support, event planning, logistics, technical support, mailings, coordinating purchasing, and reconciling expenses in compliance with budgetary and policy guidelines. Excellent communication, organization, and follow-through are essential to success.
- Support Budget Operations and Financial Management: assists business manager, WIND leadership, and Project PIs in overseeing grant and departmental budgets, payroll, and fiscal activities. Supports the maintenance of financial record systems and databases and assists in process improvements of financial operations. This person also supports the accounting and compliance aspects of grant management.
- Academic Administrative Support in Disability Studies: manages course scheduling in Banner, assists with student registrations, and oversees academic evaluations to support the program operations of disability studies. This person manages part time instructor hires, supports practicum placements, and coordinates extra-curricular academic events. Provides support for WIND faculty Reappointment, Tenure, and Promotion process through WyoFolio.
- Staff Onboarding and Supervision: supports onboarding, training of new employees, and supervises student and some office staff employees. Develops administrative roles, assigns tasks, and ensures quality standards in all administrative and project support.
- Inventory management for WIND: oversees the inventory of products, publication materials, and equipment to ensure adequate supplies are available for operational efficiency within the department. Coordinates regular inventory audits, inventory management systems, and supplies.
SUPPLEMENTAL FUNCTIONS:
- Review, recommend, and implement revisions to office policies, systems, methods, and procedures related to financial operations.
- Attend meetings and coordinate activities with other departments and may act as liaison to departments and campus administration.
- Conduct special projects, as directed.
- Serve as decentralized human resources (DHR) for the department.

REMOTE WORK ELIGIBILITY:
This position provides vital support to campus customers and requires the successful candidate be available to work on campus.
MINIMUM QUALIFICATIONS:
Education: Bachelor’s degree
Experience: 2 years progressively responsible work-related experience
Other: Valid driver's license with a motor vehicle record (MVR) compliant with the University Vehicle Use Policy.
DESIRED QUALIFICATIONS:
Experience: 2 years supervisory and financial management experience.
