Associate Director, Client Finance

Location: New York/Hybrid

Division/Department: Client Finance

Reports to Position: Director, Client Finance

This role is responsible for the success of client financial life cycle (billing, reconciliation, receivables, and payables) across Horizon’s portfolio of clients. This role is highly hands-on and facilitative; one that requires a combination of analysis and project management, as well as a willingness to play an active, internal and client facing, role. This role reports to the Director, Client Finance and has fiduciary responsibility for the success of the client’s budgets.

Main Duties and Responsibilities:

·        Oversight - 40%

o    Oversee the project management of the order-to-cash cycle to maintain fiduciary

accountability.

o    Review team member’s work product

o    Review client finance KPI’s and ensure deadlines are being met for all client deliverables (client’s budgets, cleared/uncleared activity, billed/unbilled activity, PO’s and monthly Client Finance Update)

o    Oversee billing and ensure contracted terms are being satisfied. Ensure fees are set up in our media systems according to contract terms.

o    Oversight of AR and AP performance and proactively address any discrepancies.

o    Review Burn reports ensuring accuracy and coordinate commentary with Brand Strategy

Team

o    Ensure best practices are utilize in forecasting process

·        Client Budgets

o    Ensure authorized budgets are received from client and verify plans are accurately entered into our Media Systems

o    Ensure all client budgets are billed accurately and timely

o    Ensure all media purchases are reconciled to vendor invoices and any changes in billing communicated to the client according to contract terms

o    Identify solutions to client requests

·        Project Manage Order to Cash Cycle

o    Create and maintain the client deliverable calendar

o    Work across internal teams to ensure deliverables are met

o    Update Client Questionnaire (“CQ”), as necessary

o    Steward the client’s budget through the lifecycle inclusive of:

§  Quality control of media buys (product names, PO’s, I/O’s, system set up,

etc.)

§  Train users on proper way to interact with media systems

§  Ensure buys are updated and reconcile on time

§  Ensure all proper approvals are obtained from internal client teams

·        Client Management

o    Participate and prepare for monthly client finance status calls

o    Statement of Account management monthly with clients

o    Work with Accounts Payable to ensure vendors are paid timely

o    Ad hoc client reporting

o    Client Audits

·        Internal Client Management

o    Participate in monthly Managing Partner Status calls

o    Train users on proper way to interact with media systems

o    Prepare and issue burn reports

o    Participate in the flash, forecasting, and budgeting processes, where applicable

o    Ad hoc reporting

o    Annual Financial Audit

·        Leadership & Management – 15%

o    Ensure team development and manage career pathing through training and mentorship.

o    Responsible for success of the direct reports by ensuring team has tools to be effective.

o    Identify areas of development for junior staff

·        Innovation – 5%

o    Identify & participate in process improvement for Client Finance Team

o    Champion best practices and continuously look for efficiencies and innovations

o    Participate in companywide initiatives to bring standardization & process efficiencies.

o    Encourage teams to identify areas of process improvement.
