As the Executive Operations Manager, you will play a pivotal role in ensuring the smooth operation of our office and providing critical support to our President and COO. This multifaceted position requires a proactive individual who can handle a wide range of administrative and managerial tasks with efficiency and professionalism. The ideal candidate will be passionate about optimizing office operations, supporting executive leadership, and managing a wide range of administrative tasks. This role requires a proactive individual with excellent organizational skills, a knack for event coordination, and the ability to build and maintain strong relationships with vendors and partners.

Requirements
Key Responsibilities
Administrative Support:
- Provide comprehensive administrative support to the President and COO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents, specifically for executive engagements and board meetings.
- Handle confidential information with discretion.
Corporate Engagement and Communications Management:
- Manage and coordinate internal and partner meetings such as company updates, partner QBRs, and other strategic engagements
- Develop and implement strategic communication plans aligned with corporate objectives.
- Craft key messages and ensure consistency in messaging across all communication channels.
- Coordinate internal communications to ensure employees are informed and engaged.
- Collaborate with marketing, HR, and other departments to support their communication needs.
- Utilize digital platforms and social media effectively to enhance brand visibility and engagement.
Event Planning and Coordination:
- Plan and execute corporate events such as conferences, seminars, workshops, and team-building activities.
- Develop event timelines, budgets, and logistics plans.
- Secure venues, catering, transportation, and accommodations as needed.
- Coordinate with vendors, suppliers, and contractors to ensure all event requirements are met.
- Handle negotiations and contracts with external service providers.
Office Management and Coordination:
- Oversee office access and facilities-related matters.
- Coordinate and oversee office maintenance, repairs, and renovations, working closely with facilities management and external vendors.
- Ensure office support staff are keeping supplies stocked.
- Ensure the office environment is clean, organized, and welcoming.
- Perform other duties as required or assigned within the scope of this role.
Qualifications
- Proven experience in an executive administrative support role, preferably supporting senior executives.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Google Workspace and other relevant software.
- Ability to handle sensitive information with the highest degree of integrity and confidentiality.
- Experience in office management and event coordination is highly desirable.
- Strong interpersonal skills and the ability to build positive relationships with colleagues, clients, and vendors.
- Problem-solving skills and the ability to work independently with minimal supervision.
Education
- Bachelor’s degree in Business Administration, Office Management, or a related field is preferred, but not required.
