Summary
The Administrative Assistant will oversee daily duties within the office and the team. We are looking for a master multi-tasker with good communication skills, attention to detail, and an upbeat attitude.
Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone and email, and assisting with any duties needed around the office.
Duties and Responsibilities
- Handling office tasks, such as generating reports and presentations, setting up for meetings, and reordering supplies
- Transcribe minutes from meetings/ conference calls into actions and follow up for completion or escalations accordingly
- Maintain SOPs and working instructions to ensure they are always up to date and distribute accordingly between the team both onshore and offshore.
- Check invoice portal and maintain follow ups on outstanding invoices with operators
- Make travel arrangements, such as booking flights, cars, and making hotel/ restaurant reservations
- Follow up on meeting tasks and completion
- Vendor Management documentation, reporting and scorecards are updated by both the vendors and distributed between the Management team
- Organize and prepare meeting schedules for various departments
Educational background / Work experience
- Associate's degree in Business Administration preferred.
- 2-3 years of clerical, secretarial, or office experience
- Data entry experience
- Working knowledge of general office equipment
- Excellent organization and computer skills
- Attention to detail
- Desire to be proactive and create a positive experience for others
- The ability to work to deadlines, frequent changes and new priorities is key to this role. As well as possessing good communications skills, and ability to work in a team environment
- Proficient in use of Microsoft applications. PowerPoint and Excel experience preferred.
- Excellent written and verbal communication skills
- Able to complete complex administrative tasks with minimal supervision
- Comfortable with routinely shifting demands
- High degree of attention to detail
