POSITION OVERVIEW

JOB SUMMARY:

The Assistant Director of Transfer Processing provides strategic and operational leadership for the transfer admissions unit, overseeing technical systems, compliance, and staff supervision. This position supervises a dynamic team and is responsible for staff training, development, and ongoing oversight to ensure efficient, accurate, and student-centered transfer admissions operations. This role directs domestic and international credit articulation, including transfer coursework and accelerated credit methods such as AP, IB, CLEP, and other recognized mechanisms. The incumbent maintains oversight of course equivalency databases within Banner and works closely with the Office of the Registrar on curricular components, including course equivalencies, attributes, and related academic policy considerations. The Assistant Director is responsible for the technical administration and compliance of transfer admissions systems, including Slate CRM and Banner, ensuring data integrity and adherence to institutional, state, and federal requirements. The position interprets complex Florida statutes and Florida Board of Governors regulations, particularly those related to state admissions and curriculum requirements, Florida performance-based funding metrics, and state admissions reporting, to support institutional accountability and performance goals. Additionally, this role serves as the primary athletic liaison for transfer admissions, collaborating with Athletics and campus partners to support compliant and timely enrollment of transfer student-athletes.

MINIMUM QUALIFICATIONS:

Masters degree in an appropriate area of specialization and two years of appropriate experience: or a bachelors degree in an appropriate area of specialization and four years of appropriate experience.

POSITION QUALIFICATIONS:

Requires a background in higher education, with demonstrated experience in transfer admissions, recruitment, operations, and credit articulation. Knowledge of state and federal regulations governing student records and confidentiality, including FERPA, as well as policies and procedures established by Florida Statute, the Florida Board of Governors, the Florida Department of Education, and the University of West Florida. Requires specialized knowledge of transfer credit articulation, degree program curricula, and university facilities and student services. Ability to interpret domestic and international academic transcripts, evaluate international credentials, calculate GPAs, and exercise sound judgment across varying educational systems. Experience making residency determinations is required. Ability to clearly interpret and communicate admissions policies and procedures to university deans, directors, department chairs, and other authorized personnel and external agencies. Proficiency with Banner and Google Workspace is required.

Master's Degree in an appropriate area of specialization and two years of appropriate experience.

ESSENTIAL FUNCTIONS/JOB DUTIES:
  • 40% - Provides leadership and oversight for transfer credit articulation, academic credit evaluation, and course equivalency determination for undergraduate transfer applicants and continuing students. This includes the evaluation and posting of transfer credit for newly admitted transfer students and add-to-record cases, as well as the assessment of accelerated and alternative credit methods such as AP, IB, CLEP/DANTES, military credit, and other approved mechanisms. Evaluates academic records for compliance with general education and state requirements, including General Studies, Gordon Rule, foreign language, multicultural requirements, prerequisites, and applicable degree policies. Determines transferability of credit through review of institutional accreditation, course descriptions, transcript formats, grading systems, and course content, exercising judgment across domestic and international educational systems.
