JOB SUMMARY

The Admissions and Enrollment Data Coordinator supports graduate recruitment and admissions activities by reviewing application files, working within the CRM system, and analyzing data. This role involves conducting initial reviews of application materials, maintaining accurate applicant records in the Slate CRM system, and creating enrollment data reports that assist in recruitment strategies and operational decisions. The Graduate Admissions Coordinator will be a critical first point of contact to prospective students, University faculty and staff, as well as external stakeholders.

MAJOR DUTIES AND RESPONSIBILITIES

  • Provides day-to-day support such as maintaining calendars, greeting visitors, providing general information regarding the university and procedures, answering phone calls and email queries, drafting correspondence for manager’s approval, ordering supplies, and helping organize special events.

  • Conduct first-level reads of graduate applications, evaluating materials for completeness and alignment with program admission requirements.

  • Verify transcripts, test scores, prerequisite coursework, and supporting documentation before faculty review.

  • Maintain accurate applicant data within the Slate CRM and student information system (SIS).

  • Monitor application workflow queues and manage application processing stages within Slate.

  • Help build and maintain queries, reports, and dashboards that monitor application progress and admissions results.

  • Support CRM communication workflows, including automated messages and status updates to applicants.

  • Assist with testing and implementation of updates to Slate forms, portals, and processing workflows.

  • Prepare applicant files and summaries for faculty admissions committees and program directors.

  • Communicate with applicants regarding missing materials and application status.

  • Ensure all application materials are processed in accordance with university policies and timelines.

OTHER DUTIES AND ASSIGNMENTS

  • Strong oral and written communication skills.

  • Ability to prioritize tasks and successfully manage multiple assignment independently.

  • Stay up-to-date on all new admissions initiatives and processes.

  • Support admissions data reporting.

  • Maintain a thorough understanding of university policies and procedures, a professional presence, and give accurate information while abiding by the university and higher education best practices.

  • Some evening and weekend work is required during the height of the recruiting season.

  • Performs other work-related duties as assigned.

JOB REQUIREMENTS

Education                    

Bachelor’s degree (BA, BS, etc.) required. 

Experience                  

1 to 2 years of related experience in admissions, marketing, sales, operations and/or business development. Internship and/or non-traditional experience will be considered.

Financial Responsibility

May process or record financial transactions within established guidelines and safeguards.  Duties may  require policy interpretation. 

   

Supervision                

May supervise student workers including student workers for guidance, scheduling and project based work.

Special Knowledge  

  • Proficiency in Microsoft Office Suite, virtual meeting platforms such as Zoom or Google Meet, and graphic design tools such as Canva preferred.  

  • Strong written and verbal communication, exceptional organizational skills, and the ability to work both independently and as part of a team. 

  • Experience with higher education CRM systems strongly preferred.
