Datamaran is seeking a Senior Executive Assistant & Office Manager to principally support our CEO and help grow our new office in the heart of Fryslân, managing day-to-day operations of our fourth global office. This is a critical role that requires excellent organisational skills, strong attention to detail, and the ability to prioritise and manage multiple tasks. As a Senior Executive Assistant & Office Manager at Datamaran, you will play a key role in ensuring the smooth functioning of the office and providing administrative support to our leadership team. You will handle a wide range of responsibilities, including managing calendars, arranging travel, coordinating meetings/events and overseeing office operations.

Responsibilities

  • Manage complex calendars and schedule meetings, appointments, and travel arrangements for senior executives
  • Coordinate and prepare materials for meetings, including presentations and agendas
  • Handle confidential information with sensitivity and discretion
  • Provide general administrative support to the leadership team as needed
  • Organise and coordinate office operations and procedures
  • Support the planning and organisation of company events and employee activities
  • Assist with HR-related tasks where necessary such as onboarding new employees
  • Manage relationships with vendors, suppliers, and service providers
  • Own the smooth running of the new Leeuwarden office
  • Ensure office supplies and equipment are maintained and inventory is replenished
  • Assist with budgeting, expense tracking, and invoice processing

Employment details

The Senior Executive Assistant & Office Manager will be employed on a permanent, full-time contract, working on a hybrid basis from our brand new Netherlands hub, in Leeuwarden, Fryslân, with the expectation of typically being in our office 3+ days per week. National and international travel may also be required as part of the role.

Requirements

  • At least 5 years of experience as an Executive Assistant (EA) and/or Office Manager in a fast-paced environment
  • Proven ability to handle confidential information with discretion
  • Excellent organisational and time management skills in an international environment
  • Strong attention to detail and ability to prioritise and manage multiple tasks
  • Decisive with the ability to work autonomously and take initiative
  • Excellent communication and interpersonal skills
  • Fluent English to business-level (written and speaking)
  • Experience supporting senior executives, including managing complex calendars and international travel
  • Proficient in Google Workspace as well as Microsoft Office and other office productivity tools
  • Experience managing office operations and coordinating with internal/external partners
  • Nice to have:
  • Experience supporting event planning and coordination
  • An understanding of HR-related tasks
  • Experience working in a start-up/scale-up is a clear plus
  • Experience in a Technology, Software/SaaS company also an advantage
