SA-TECH supports a dynamic U.S. Navy Directorate specializing in design, research, development, testing, and evaluation of experimental watercraft for military clients. We are currently seeking to hire an Administrative Assistant to play an essential role in supporting our team and ensuring smooth operations across various departments within the Combatant Craft Division at Carderock on Naval Station Norfolk, VA. The position’s job responsibilities and tasks involve (but are not limited to):
- Act as administrative lead or office manager for daily updates, accomplishments, and any issues requiring attention.
- Manage daily administrative tasks, including answering phones, scheduling, and organizing documents.
- Coordinate team meetings and events and prepare agendas.
- Assist in project management by tracking deadlines and facilitating communication.
- Handle expense reporting, invoicing, and basic accounting tasks.
- Liaise with vendors and clients, providing excellent customer service.
- Maintain office supplies and manage inventory.
- Research, quote, source, and procure parts, equipment, and subcontracted services on behalf of contractor and government.
- Monitor transactions, document and maintain current status, and follow-up with vendors - from material quote through final invoice.
- Perform financial data entry functions.
- Perform miscellaneous office management and administrative duties.
- Provide status reports as requested to senior management and customers.
- Assist with visitor control and front desk reception.
- Other duties as assigned.
Work Conditions:
- Work hours are Monday through Friday, 0700 - 1530 or 0830 - 1700 .
- Work will be performed in enclosed buildings, office areas, and industrial warehouse environments.
- Work will include sitting, standing, walking, lifting, and reaching.
Requirements
Education/Experience/Skills:
- High School Diploma or equivalent (Bachelor of Science degree preferred).
- Proven experience as an administrative assistant or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Ability to work independently and as part of a team.
- Committed to Customer Service as a top priority.
- Excellent follow-up skills.
- Ability to perform error-free data entry.
- Experience drafting basic status reports.
- Maintain a professional, helpful and friendly demeanor at all times while on the job.
- Current Driver’s License required; must be able to be insured through company’s vehicle insurance policy while driving work/government/rental vehicles during working hours, and for the duration of employment.
