Rea & Associates is looking for an experienced Administrative Assistant to join our Advisory & Consulting team at one of our Ohio offices. This position is responsible for performing a variety of administrative and clerical tasks to assigned managers within the segment. The Administrative Assistant will ensure efficient and smooth day-to-day business operations.


Responsibilities

  • Organize and schedule meeting and conference call arrangements, including coordination of rooms, technical resources, speakers, activities and catering
  • Capture detailed meeting minutes, when requested
  • Draft engagement letters & coordination with client
  • Experience with CRM
  • Book travel arrangements for assigned management as assigned
  • Assist with project management, including project time estimates, reports and status updates
  • Create and edit all correspondence related to assigned management
  • Maintain various databases including Go File Room and CRM (pipelines, contacts, etc.)
  • Provide billing support to assigned Partners and other members of management
  • Collect and assemble reports and scan documents, as needed
  • Assist with time and expense entry for assigned Partners and other members of management
  • Maintain calendars for assigned Partners and other members of management
  • Interact with clients and visitors in person and via phone
  • Coordinate satisfaction surveys with clients
  • Generate recurring or one-time reports (Star, CRM, scheduling software, etc.)
  • Other duties as assigned

Requirements

  • High School Diploma or GED, Associates degree preferred
  • Three (3) or more years of administrative experience in a professional services firm OR
  • One (1) year of administrative experience in a professional services firm with Bachelor’s degree
  • Advanced level of proficiency in Microsoft Office Suite required
  • Experience with MS Teams and Zoom preferred
  • Experience with CRM (customer relationship management) software a plus
  • Experience with practice management software a plus

Knowledge, Skills and Abilities

  • Displays superior verbal and written communication skills, including advanced knowledge of current grammar and punctuation standards
  • Technologically savvy and able to quickly learn new software
  • Capable of working and communicating effectively with professionals at all levels
  • Willingness to hold others accountable including superiors
  • Possesses advanced-level knowledge of popular word processing and administrative programs
  • Ability to work in a deadline-driven environment and handle multiple projects / tasks with an attention to detail
  • Ability to successfully multi-task while remaining organized and working independently or in coordination with other administrative or management professionals
  • Possesses superior customer service skills
  • Understands and maintains the confidentiality of all information
  • Ability to effectively utilize multi-line telephone system
