We’re looking for a part time office assistant to support daily operations, coordinate vendor relationships, and create a welcoming office environment. What You’ll Do
As our Office Assistant, you'll be the go-to person for ordering supplies, coordinating daily lunches, contacting vendors, and supporting company events. Key responsibilities include:
- Serve as the Primary Liaison for landlords, contractors, and facility service providers.
- Oversee facility upkeep, ensuring office spaces, supplies, and equipment are well-maintained.
- Assist with New Hire Onboarding to ensure new hires have a clean workspace and other materials (business cards, name plates, etc.).
- Address maintenance concerns and coordinate urgent repairs as needed.
- Manage vendor relationships with janitorial, security, and maintenance teams.
- Schedule and oversee on-site contractor visits for office maintenance and improvements.
- Order and manage daily team lunches, ensuring variety and dietary needs are met.
- Keep snacks, beverages, and office supplies stocked within budget.
- Assist leadership with holiday parties and company events, handling logistics and vendor coordination.
- Help create an engaging, well-organized workspace that supports team productivity.
- Assist on other office tasks as needed.
We’re looking for someone who is:
- Organized & detail-oriented – You thrive in structured environments and ensure nothing falls through the cracks.
- A proactive problem-solver – You take initiative and find solutions before they become issues.
- A strong communicator – You manage vendor relationships, team requests, and office coordination confidently.
- Minimum 1 year of experience in office coordination, vendor management, or administrative support (preferred but not required).
- Proficient in Microsoft Office Suite of products, especially Outlook, Word, and Excel.
