Description
The operations assistant is responsible for performing administrative duties and other functions that help streamline the organization's daily business operations. The Operations Assistant will primarily support TAKKION’s Maintenance Division.
ESSENTIAL FUNCTIONS
· Increase team efficiency by providing support both operationally and administratively.
- Serving as a point of contact between Operations and Time & Labor.
- Assistance with creating/assigning job codes.
- Ensuring accuracy and consistency with Customer-based time entry platforms.
- Able to respond to employee and customer requests on time as needed.
- Able to assist Customer A/R and provide a breakdown as needed.
- Review employee timesheets and expense reports on a weekly basis.
- Assist with technical documentation.
- Provide scope of work to technicians as needed.
- Able to aid customers / customer needs.
- Provide requested safety certifications to customers, employees and subcontractors as needed.
- Assist and coordinate with fleet / asset management.
- Track time-off schedules as needed.
- Assist with pre-jobs meetings.
- Generate reports from databases, formatting information, vetting data and compiling operations reports.
- Data entry, quality control verification and reporting from various core business-management technologies.
- Keeps fully informed of current developments in the operations field, industry, regulations and Company procedures as they apply to assigned work areas.
- Ordering office supplies, equipment, and services as needed.
- Willing to perform additional responsibilities, task, and duties as assigned.
- Coordinating with Business Development & Operations to ensure proposals are accurate and sent off in a timely manner.
Requirements
EDUCATION & EXPERIENCE REQUIREMENTS/COMPETENCIES
To perform the essential functions of this position successfully, an individual should be able to demonstrate and provide the following:
- HS diploma or GED equivalent required. Secondary education preferred.
- Three (3) – five (5) years of functional experience in administration, operations or customer service field preferred.
- Extensive knowledge in Word, Excel and Outlook and the ability and willingness to learn new software applications.
- Excellent organizational skills, communications skills, the ability to multi-task, and most importantly, the ability to work well in a team.
- Demonstrated openness to change, flexibility, and adaptability.
- Strong analytical thinker with the ability to resolve complex issues.
- Self-starter with a drive for continuous improvement of the business operations.
- Express willingness to step out of the box to assist other teams to meet and overcome challenges for the company.
WORK ENVIRONMENT/PHYSICAL REQUIREMENTS
This position is largely self-directed and requires understanding of company policy, procedures, and values. Team members will be required to adhere to all safety requirements in all work environments. This position operates in an office environment.
Specific physical requirements include:
- Sitting for approximately 90% of the time while working on a personal computer.
- Occasionally lifting weights of fifty (50) pounds or less.
