The Administrative Manager for Lāna‘i Ocean Experiences (LOE) supports and oversees the daily administrative and shore-side operations. This position manages crew scheduling, guest coordination, documentation, U.S. Coast Guard compliance records, and communication with Four Seasons. The Administrative Manager directly supervises LOE deckhands and support crew and serves as the primary administrative partner to the Director of Ocean Activities and LOE Captains. The ideal candidate is detail-oriented, confident in leading staff, and capable of operating in a dynamic marine-based environment while maintaining professionalism and aloha-driven guest service.
Compensation:
$75,000 - $85,000/year (Exempt)

Essential Duties
Oversees and manages daily administrative operations, ensuring smooth and efficient workflow. These include but are not limited to; staff scheduling, payroll reporting, supplies ordering, operational reports and processing invoices for timely payment.
Coordinates logistics for maritime operations, including scheduling, resource allocation, and inventory management.
Serves as the primary administrative liaison with Four Seasons for guest bookings, timing, capacity planning and follow-up communication.
Works with LOE Management team to lead a team of captains and deckhands who will be responsible for customer service, safety and daily maintenance of our fleet.
Supports the captains with administrative needs such as itinerary updates, documentation preparation, compliance review and scheduling.
Ensures the team has access to documents such as safety standards and operating procedures, as well as safety regulations and Pūlama Lāna‘i company policies.
Handles customer service inquiries and resolves issues promptly and professionally.
Collaborates with other Pūlama Lāna‘i departments and the Four Seasons to support overall business objectives.
Works with LOE management team to create annual budget.
Supervises, trains and coaches LOE deckhands and support crew in daily operations, guest service, professional and LOE standards.
Manages all U.S. Coast Guard documentation, licenses, permits, inspection logs, and compliance files for LOE vessels and crew.
Maintains and ensures that employee certifications are current, including CPR/First Aid, USCG licenses and sailing endorsements, etc.
Coordinates with Fleet Maintenance and captains during vessel downtime, haul-outs and repair scheduling
Provides administrative support to the Director of Ocean Activities on projects, policy development and program improvements.
Perform other duties as assigned.
Three to five years of administrative, supervisory or operations coordination experience, preferably in hospitality, tourism, transportation or marine environments.
Strong leadership skills with the ability to guide and coach staff professionally and constructively.
Must be proficient in Outlook, Word, and Excel.
Requires excellent written and verbal communication and organizational skills.
Requires relating to people in a friendly and professional manner.
Requires working to established procedures and maintaining reliable work attendance.
Able to think and make effective decisions quickly.
