This position is responsible for the direction, efficiency and responsiveness of museum operation services and programs including Facilities Maintenance, Security, Landscaping, Housekeeping, Vehicle Fleet and Risk Management /Safety.
This position will manage a variety of facility-related contracts and work closely with all departments of the museum to ensure work is performed as needed with minimal interference or disruption in the daily operation of the museum and its events.
Additionally, this role will be actively involved in capital projects—including renovations and expansions—and will collaborate closely with leadership in exhibition development to ensure these projects are executed on time, within scope, and aligned with business objectives.
SPECIFIC DUTIES AND RESPONSIBILITIES:
Facility Maintenance and Landscaping

Provide oversight and coordination of vendors responsible for building maintenance including repairs, refurbishments, and maintenance of mechanical, electrical, environmental, fire/life safety, plumbing, and waste management systems.

Oversee compliance with maintenance guidelines and documentation with vendors (including maintaining documentation and records) of systems such as elevators, HVAC, boilers, chillers, fire alarm systems, security systems and access control systems.

Oversee landscape vendor performance to ensure grounds are maintained, ensuring proper care, maintenance, and usability of exterior spaces.

Provide internal organization and communication regarding administrative spaces, ensuring a well-structured and functional working environment.
Risk Management and Safety:

Manage vendor contracts for security, and housekeeping services ensuring a clean and safe environment for visitors, staff, and vendors on our property.

Work collaboratively to ensure safe access for staff and guests as needed during winter conditions and address other weather-related issues. Observe & report operating conditions and situations to appropriate leadership.

Ensure risk management practices are implemented effectively by vendors and internal teams.

Update and maintain emergency procedures, ensuring vendor and staff compliance with safety regulations.

Support construction projects to ensure compliance with applicable codes, regulations, museum standards, and contractual requirements.

Facilitate and document regular facility inspections of all parts of the museum’s grounds and facilities.

Oversee recordkeeping related to facilities and compliance documenting maintenance schedules, and any other information required by internal policy or by local, state, and federal agencies.

In collaboration with Human Resources, develop and lead emergency response training for staff and floor wardens, including fire safety, severe weather procedures, and active threat preparedness.

Support the management of general liability issues for the museum.

Oversee maintenance and repairs of the museum’s vehicle fleet via local service providers.
Vendor Service Coordination & Guest Experience Integration

Collaborate with leadership of Guest Experience to align guest experience standards for vendors with standards established for the museum staff.

Monitor vendor service delivery, address performance issues and proactively address service issues or gaps that may impact staff or guest satisfaction.

Support the guest experience by maintaining an active presence in the halls, providing information and feedback to leadership on guest flow and any other issues impacting visitors.
