Major Duties
Under general supervision of the Chair of the Department of Mechanical Engineering, the Administrative Support Coordinator coordinates office workflow and provides administrative support for the Department of Mechanical Engineering. The incumbent uses SOLAR for building class schedules, coordinates scheduling changes with the Department Chair, initiates updates and restrictions, time and labor for faculty, staff, and student assistants, coordinates Omnilock access to labs, PT faculty appointments and changes, and runs schedule-related reports for the faculty.
- Prepares Degree Process Reports, rosters, and access student records, generates course permission numbers, checks prerequisites, inputs APDB report data, completes PARs at the beginning and end of semesters, coordinates annual department events, and takes meeting minutes.
- Uses the SOLAR financial system to track payroll and operating expenses, and maintains spreadsheet shadow systems to help with the reconciliation of General Fund, Lottery, Trust, and Auxiliary accounts for the department.
- Prepares student assistant and ISA appointments, supervises work and daily duties of student assistants, explains the new-hire process, and coordinates hiring activities for full-time faculty positions.
- Performs other duties as assigned.

Qualifications
- Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity exercising independent judgment and leading the work of others.
- Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience.
Knowledge, Skills, & Abilities
- Thorough mastery of: office methods, procedures, and practices; and correct English grammar, spelling, and punctuation. Expertise in using office software packages, technology, and systems.
- Ability and specialized skills to: prepare letters, memos, and reports; transcribe minutes; make travel arrangements; analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions; apply judgment, discretion, and initiative in establishing priorities, providing follow-up and quality control.
- Ability to: use judgment and discretion to act when precedents do not exist; understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
- Communicate effectively both orally and in writing; establish and maintain cooperative working relationships; effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations; operate standard office equipment and software.
Pay, Benefits, & Work Schedule

- Classification: Administrative Support Coordinator / 1035 / 2
- The anticipated HIRING RANGE: $4058 - $4961 per month, dependent upon qualifications and experience. The salary range for this classification is: $4058 - $6653 per month.
- HOURS: Full Time; 40 hours per week; Monday through Friday.
- This is a Regular position with a one-year probationary period.
- The position is currently hybrid (4 days in office, 1 day remote); however, this is subject to change based on student and/or operational needs.
