Job Description
Areas of Responsibility & Accountability
•Perform administrative duties as assigned and support event operations leadership team.
•Assist in the creation of supportive materials for events including but not limited to exhibitor service manual, rules and regulations, and code of conduct.
•Schedule meetings, maintain department email lists, and department Portal page (company intranet page).
•Prepare exhibitor and sponsor lists.
•Monitor the use of virtual platforms, such as Swapcard, recording the users, # of exhibitors, key feature costs, etc.
•Maintain historical tracking for events documenting attendance, exhibitor count, vendors used, key financial stats, facility/location, etc.
•Update calendar of events monthly and publish on Portal.
•Create and circulate special ad hoc reports as needed. For example, attendee reports.
•Organize and update department files in SharePoint.
•Process invoices and submit for approval to be paid.
•Manage department Pcard- requests for use, obtaining approval for use, and financial reconciling.
•Track and report billing for department expenses such as independent contractors, software tools, music license fees, on-site emergency kits, etc.
•Assist team members in planning and executing events when appropriate.
•Oversees all freight shipments, onsite distribution, and shipping requirements.
•Perform floor manager duties on-site at events.
•Acts as room monitor at events.
Qualifications
•Tech savvy, willingness to adopt and embrace new technologies.
•Experience working with shared service centers.
•Analytical & problem- solving capability.
•Strong knowledge of Microsoft Office, especially Excel.
•Customer service oriented.
The pay range for this position is $55,000- $64,000 depending on experience.
