JOB SUMMARY:
Administers day-to-day operational activities related to water services and main extensions, ensuring accurate, timely, and customer-focused processing of inquiries, contracts, revenues, and service coordination.
Responsibilities:
Customer Service & Intake Coordination
• Serve as the primary point technical resource for internal and external customers regarding water applications, main extensions, hydrants, and related infrastructure
• Provide guidance and resolve complex customer inquiries regarding interpretation of RWA policies, engineering standards, and Rules & Regulations.
• Independently evaluate customer requests and recommend solutions for non-routine service issues.
Contract Preparation & Documentation
• Prepare contracts and process all documentation associated with:
◦ Water service connections
◦ Hydrant
◦ Main extensions
• Verify technical accuracy, completeness, regulatory compliance, and financial requirements prior to execution
• Identify contract risks or discrepancies and recommend corrective action.
Revenue Collection & Routine Accounting
• Monitor, reconcile, and account for revenues, refunds, liabilities, and deposits associated with water services and construction projects.
• Research and resolve financial discrepancies involving contracts, customer accounts, and project costs.
• Prepare financial reports and supporting documentation for management review.
• Assist with revenue forecasting and trend analysis..
Invoice & Payment Processing
• Coordinate billing activities for:r:
◦ Main extensions
◦ Large and small services
◦ Meter yokes, vaults, and copper setters
◦ Over the counter material sales
• Coordinate with Finance and Engineering to resolve billing discrepancies.
Mapping and Servicing Requests
• Review and maintain mapping requests and infrastructure records to ensure accuracy between GIS, SAP, engineering drawings, and field documentation.
• Coordinate corrections to service records and mapping information with Engineering and Operations.
Support ongoing improvements to digital records management and data integrity.
Service Demolition Coordination
• Coordinate demolition of water services by:
◦ Verifying compliance with state, municipal, and RWA regulations
◦ Confirming required approvals and documentation are in place
• Prepare and distribute notification letters to:
◦ Property owners
◦ Municipal officials
◦ Demolition contractors
Interdepartmental & External Coordination
• Coordinate with Engineering, Capital Planning, Operations, Billing, and other RWA divisions to support service installations and project execution.
• Ensure accurate and timely information flow between internal teams and external stakeholders.
• Serve as liaison among Engineering, Operations, Capital Planning, municipalities, contractors, developers, and customers.
Cross-Coverage & Administrative Support
• Provide cross-coverage for positions within:
◦ Contracts and New Services
• Provide technical cross-coverage for Contracts & New Services and Capital Planning functions.
• Exercise independent judgment to maintain operational continuity during supervisor or staff
