Summary of Objective:

Support Speed Solutions Product Managers by managing all service line billings including, integration with Salesforce, set up in JDE, and following through to invoicing. Responsible for monthly tracking and management of all open billings, understanding current status, availability to invoice, and liaising with the internal teams to reconcile revenue. Management and resolution of billing related issues with IT, other PCI sites and 3rd party vendors. Preparation and reporting of internal metrics, reports and financial data to site lead teams. Management and leadership of functional team of employees carrying out the above tasks.

Essential Duties and Responsibilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The essential duties and responsibilities include the following but other duties may be assigned.

  • Manages team of employees responsible for Speed Solutions billing functions at all Commercial sites.
  • Responsible for team development, individual goal creation and attainment.
  • Manages monthly team deliverables and ensures objectives are being met.
  • Manages Commercial billing forecast and liaises with the various site leadership teams on projected revenues.
  • Build linkages and reporting tools integrating Salesforce Opportunities and JDE
  • Develop forecasting and revenue reporting tools and dashboards for management visibility
  • Design processes to effectively enter all newly awarded quotes into JDE - creating a unique SF for each service that has been awarded
  • Coordinate with site teams for CB and CS numbers for all new clients
  • Manage and track all open SF’s to understand current status and timeline for closure and invoicing
  • Harmonize JDE status codes across sites for consistent reporting and forecasting
  • Provide education and training across Commercial sites for standard ways of working related to Speed Solutions billings.
  • Create  and maintain dashboard of open SF’s that can be shared with senior leadership
  • Actively manage all Speed Solutions due dates in JDE for prompt revenue collection
  • Manage all routine (monthly or quarterly) billings, creating partnerships with Global PM resources to ensure all are captured and appropriately invoiced.
  • Reconcile 3rd party invoices with Global PM team to invoice to client and management of import of 3rd party charges into ERP system
  • Ownership for advancing all monthly client facing invoices for Speed Solution activities and recording into monthly Dashboard. 
  • Manage and distribute any one-off or additional billing items to Global PM team throughout the month.
  • Manage and facilitate timely production billing within 3 days of appropriate completion to ensure timely cycle billing.
  • Liaise with Accounting and Global PMs to monitor and manage outstanding accounts payable invoices still pending final billing to client.
  • Create and run reports throughout the month in support of billing and financial reconciliation and as requested by customers or Global PM team.
  • Gather, analyze and provide requested financial data and metrics to lead team/management as requested.
  • Training and on-boarding of new employees within same role, as requested.
  • Where requested, participate and complete other tasks and projects as requested.
  • Knowledge of and adherence to all PCI, cGMP and cGCP policies, procedures, rules and regulations as applicable to assigned tasks.
  • This position may require overtime and/or weekend work.
  • Knowledge of and adherence to all PCI, cGMP, and GCP policies, procedures, rules.
  • Attendance to work is an essential function of this position. Performs job duties as assigned by Manager/Supervisor.

Required:

  • Bachelor's Degree in a related field and/or 1-5 years related experience and/or training.
  • Basic Mathematical Skills
  • Intermediate Computer Skills: Ability to perform more complex computer tasks and has knowledge of various computer programs.                     
  • Minimum Professional Proficiency: Ability to speak in a way that allows one to participate effectively in various conversation
