About the role

Responsible for managing a team of Wholesale Loan Documentation Specialists.  Meet the needs of the Wholesale Team and their clients while ensuring compliance with internal policies and procedures, applicable governmental regulations and sound lending practices.  The Manager - Wholesale Loan Documentation will be responsible for all internally prepared loan documentation within Wholesale Banking including closing and booking of loans and documentation of Letters of Credit.

Position Accountabilities

  • Act as a Subject Matter Expert (SME) for loan closing and lien perfection.
  • Maintain detailed knowledge of and ensure compliance with the bank’s lending policies and procedures that pertain to loan approval and loan documentation.
  • Manage team preparing loan document packages and Letter of Credit documentation; act as a subject matter expert on documentation and all loan and Letter of Credit systems.
  • Communicate with in-house counsel and internal compliance to ensure enforceability of documentation and regulatory compliance.
  • Supervise the day-to-day operation of the department to ensure all Loan Documentation Specialists perform at a satisfactory level. Coordinate the activities of the department to ensure that all documents are completed accurately and within prescribed timeframes.
  • Disseminate information to department teammates regarding compliance, policies and procedures, and ensure that staff is trained and knowledgeable in all areas of documentation to meet the lending needs of the bank. Engage staff to facilitate professional growth, build skill-sets, cross-train, and create an environment of teamwork.
  • Assist Application and Data Services with: Maintaining CSI templates and libraries to ensure compliance with bank policies and regulatory requirements. Coordinate with IT Support to install product updates and troubleshoot installation and application issues.
  • Review credit approvals to ensure that documentation complies with the terms of the approval. Determine if additional documents or information is required to complete the document request and communicate these to the Credit Portfolio Manager, with a copy to the Relationship Manager.
  • Develop tracking system for letters of credit to ensure that they are terminated timely and fees are collected annually
  • Partner with internal counsel on updates to Letter of Credit forms or revisions requested by the beneficiary counsel.
  • Build strong relationships with Wholesale leadership and other stakeholders to troubleshoot issues and ensure continuous improvement.
  • Review files for proper organizational documentation and authorizations, vesting, legal descriptions, financial provisions, covenants, closing dates and other relevant data.
  • Proactively identify and implement process improvement opportunities.
  • Monitor risks and controls to ensure they are functioning properly.
  • Validate and process invoices when needed.
  • Ensure that the department meets its quality standards on a consistent basis.
  • Hire, train, coach, mentor, develop, and evaluate teammates, establishing a high level of performance and professionalism.
  • Proactively demonstrate the values of commitment, care, and courage in all customer and teammate interactions.

 

Organizational Relationship

Position reports to the Director of Wholesale Operations.

 

Position Qualifications

Education & Experience

  • Undergraduate Degree Preferred.
  • Minimum of 7 years of experience with loan documentation.

 

Knowledge & Skills

  • Familiarity with a variety of commercial banking concepts, practices, and procedures.
  • High degree of competence with commercial loan documents and the lien perfection process for various types of collateral.
  • Extensive knowledge of Microsoft Office Suite.
  • Strong interpersonal skills and the ability to develop and maintain a good working relationship with individuals at all levels across several departments within the organization, and with external clients.
  • Strong written and verbal communication skills.
  • Highly attentive to detail.
  • Ability to work independently with minimal supervision; must be a self-starter.
  • Some knowledge of consumer lending regulations is beneficial.
  • Knowledge of CSI and nCino is highly desirable.
  • Experience in creating and managing to processes and procedures.
  • In depth knowledge of loan operations, products, and documentation.
  • Effectively able to manage projects.
